Sponsored Research Administrator

NC State College of Engineering

Position: Sponsored Research Administrator (Internal Recruitment) Location: Raleigh, NC – Department of Engineering Research Administration Reporting to: Office of Research Administration Role Overview The College of Engineering, NC State, is seeking a Sponsored Research Administrator to provide comprehensive pre‑award and post‑award support to faculty portfolios while embedded in a department. The role ensures fiscal and administrative compliance, leading end‑to‑end grant lifecycle management, and providing localized customer service within a centralized institutional model. Responsibilities Pre‑Award Portfolio Management & Proposal Development Consult with PIs to develop accurate, compliant budgets and justifications from concept to submission. Screen agency RFPs and FOAs for regulatory alignment with F&A rules, cost‑sharing, budget caps, and cost allowability. Execute and route records within institutional systems, including RED Proposal Development, verifying data integrity before central routing. Build, format, and package proposals across sponsor portals (Research.gov, GRANTS.gov, eRA Commons, ASSIST). Post‑Award Financial Management, Forecasting & Closeout Onboard awards and translate budgets, ensuring correct F&A calculation (MTDC/TDC). Monitor expenditures for accuracy, allowability, and compliance with CAS, Uniform Guidance, state rules, and university policies. Build multi‑year spending projections and variance analysis models to optimize fund utilization. Reconcile human‑resource expenditures, travel vouchers, and procurement against grant terms, and track cost‑share obligations. Execute comprehensive closeouts, prepare PMRs for modifications, extensions, or residual balances, and maintain audit‑ready documentation. Model Alignment, Cross-Coverage & Leadership Participate in the College ORA network to align with university‑wide research administration standards. Provide temporary pre‑ or post‑award coverage for other COE departments during peak cycles or staff absences. Develop and deliver onboarding resources, guides, and info‑sessions for new faculty and departmental business officers. Additional Responsibilities Other duties as assigned. Qualifications Minimum Education and Experience Bachelor’s degree (or equivalent experience) from an accredited institution. Required Qualifications Experience in university research administration covering pre‑award and post‑award management. Ability to work successfully in a matrixed, shared‑services or centrally managed/embedded operational model. Strong proficiency in Microsoft Excel for financial spreadsheets, tracking formulas, and data analysis. Excellent written and verbal communication skills with consultative diplomacy. Strong organizational skills and capacity to balance faculty needs with compliance frameworks under tight deadlines. Valid NC Driver's License required. Preferred Qualifications 3+ years of experience in university research administration at an R1 institution. Deep knowledge of Uniform Guidance (2 CFR 200), CAS, and federal sponsor rules (NSF, NIH, DOD, NASA, DOE). Experience with NC State systems: RED PT, PD & PAM, PeopleSoft Financials, and Wolf Reports. Certified Research Administrator (CRA) or Certified Pre‑Award/Post‑Award Research Administrator (CPRA/CFRA).
