Position Overview The Communication Coordinator is a vital member of our Client Experience team, serving as both the face and voice of Generational Group. This dynamic role plays a crucial part in maintaining smooth firm operations by splitting daily responsibilities. Mornings are dedicated to driving essential administrative support initiatives for the CE Team, while afternoons focus on managing the company receptionist duties, welcoming guests, and coordinating workplace logistics. Key Responsibilities Client Experience & Administrative Support (Morning Focus) Team Assistance: Manage comprehensive administrative support duties for the Client Experience Team. Client Research & Preparation: Conduct thorough client research and prepare new client files to ensure seamless onboarding. File & Data Integrity: Maintain accurate client files and assist the CE Team with data review to ensure high system integrity. Agreement Review: Review client agreements carefully to ensure accuracy. Client Assessment: Review client information and provide clear overviews for CE Managers regarding necessary pending items. Schedule Coordination: Assist CE Managers in prioritizing, scheduling, and organizing client calls. Client Wellness Checks: Proactively call clients to conduct periodic “wellness checks,” gauge their satisfaction, and determine if they want to move forward in the process. Receptionist & Front Office Operations (Afternoon Focus) Firm Ambassador: Welcome clients, visitors, and Generational Group team members with a highly professional attitude and appearance. Inquiry Management: Clearly communicate basic company information and answer general incoming questions. Lobby Security: Thoroughly understand, execute, and maintain established lobby security policies. Facility Aesthetics: Manage overall appearance, cleanliness, and inventory for the lobby and designated meeting rooms. Meeting Schedule Support: Assist the team with managing the meeting room schedule. As-Needed Event Support: Assist with occasional catering coordination and partner with the IT Team to resolve technology needs as requested. Qualifications Associate or bachelor’s degree preferred. 3+ years in an administrative or front office role. Flexible & Adaptable: Thrives in a dynamic environment and smoothly adjusts to changing daily priorities. Discretion/confidentiality handling sensitive client information. Communication Excellence: Strong written and verbal communication skills paired with active listening and observation abilities. Client-Centric Mindset: Friendly, compassionate, reliable, and deeply committed to a positive client experience. Proactive Problem Solving: A self-motivated team player who is teachable and demonstrates a positive, proactive attitude. Organization & Detail: High attention to detail with excellent time management skills to handle a split-focus workday. Technical Skills: Strong computer skills; Microsoft Office proficiency; Salesforce experience preferred.
