Job Description

This position is responsible for processing and managing a wide range of court filings for civil, small claims, and criminal cases. Duties include opening new case filings, accepting payments, reviewing documents for completeness, assigning judges, issuing summonses for civil cases, and scheduling court dates for dissolution and forcible entry and detainer (FED) matters. The incumbent also routes documents appropriately for imaging and case processing within OnBase and issues deficiency notices for filings missing required forms.

The position provides extensive customer service and administrative support to the public, private attorneys, state agencies, and court personnel. Responsibilities include responding to inquiries regarding court procedures, file requests, copy requests, forms, and research materials, while directing customers to additional resources when appropriate. The employee answers telephones, responds to inquiries received through filing and customer service mail, and supports front counter operations during peak periods to ensure timely and efficient customer assistance.

Additional duties include recalling outstanding civil and criminal bench warrants, processing criminal requests, court orders, arraignment rescheduling requests, and bail paperwork, and assigning arraignment dates as necessary. The incumbent also receipts payments into the appropriate account codes for fines, bail, restitution, sanctions, forfeitures, civil orders, certified mailings, copies, executions, and marriage ceremonies. Daily financial responsibilities include balancing a cash drawer and generating cash summary reports.

The position also assists with electronic case management by importing cases into OnBase, opening and routing new electronic filings from designated queues, retrieving files from various locations, and assisting with the opening of unclaimed body cases. Additional responsibilities may include processing requests for tape or media duplication of court proceedings, relieving front counter staff during breaks, training co-workers as directed, assisting other divisions as needed, and performing other duties assigned by supervisory staff to support efficient court operations. What hours will you work? Full-time court employees are currently scheduled to work 37.5 hours per week. The work hours for this position are Monday – Friday, 8:00 a.m. to 4:30 p.m. with a one-hour lunch break. The Work Environment The Customer Service Division is located on the first floor of the Nesbett Courthouse. Each employee will receive a private parking pass for the courthouse parking garage. As a Court Case Manager 1, you will become a part of the Anchorage Trial Court helping to fulfill the mission of the Alaska Court System.

Minimum Qualifications

Graduation from high school or completion of a General Education Development (GED) certificate AND one year of office clerical experience.

Substitution:

Additional office clerical work experience will substitute for the high school diploma or GED certificate on a month-for-month basis.

Completion of 36 semester credit hours or 48 quarter credit hours of coursework from an accredited college will substitute for the year of required office clerical experience.

Completion of an appropriate vocational training course of study such as legal secretary, paralegal, or office skills will substitute for the required office clerical experience on a month-for-month basis.
