Project Manager

Job Description Overview The Assistant Project Manager works within the Project Management Group and will support the Project Manager(s) in planning, execution, and close out of projects in accordance with company Talent Advantage Roadmap, company policies, industry standards, within budget, on time, and safely. This role involves coordinating with various teams, internal and external, thorough documentation, clear communications, and ensuring Allen Metals meets or exceeds the requirements of the contract construction documents. Our aim is to exceed and drive industry standards for restoration, preservation, custom design, and fabrication of ornamental metals. The internal development path for this position is promotion to Project Manager (1-3 yrs) based on performance evaluations and demonstrated professional growth. Location / Working Conditions This is a hybrid position primarily based at our Talladega office with travel requirements. It includes one (1) day per week of work from home on a routine schedule established with your supervisor. The office space is equipped with desk, chair, computer, monitors, and IT accessories and software systems as necessary. A home office phone number and/or a cell phone allowance may be provided, and a corporate credit card will be provided to cover travel and other business-related expenses. Travel This position requires travel to meet the expectations of AAM and our clients regarding project management, commitment to excellence, and customer focus. Travel is variable based on project schedules and needs. Travel is typically required 1-2 times per month with trips averaging 3-5 business days each (including transit). All travel expenses that adhere to corporate travel and credit card policies are paid by the company. Travel is usually planned at least 1 week in advance to ensure availability and preparedness for field time. Project schedules may require travel on short notice due to external factors. Supervision and Professional Development This position is directly supervised by the Vice President of Project Management. As it supports Project Managers, supervisory roles may be delegated from the VP to Project Managers. Primary Responsibilities Project Planning and Coordination Support the Project Manager(s) in overall project management to ensure AAM delivers products, installation, and documentation on time and within budget. Read and understand project contracts, construction drawings, specifications, and schedules to comprehend AAM scope of work, general requirements, and milestones. Lead and maintain internal administrative project setup and documentation on the company SharePoint, establishing project numbers and folder trees per SOP, and maintain organized files. Assist in developing plans, schedules, budgets, and agendas. Attend internal and external meetings, take notes as assigned, and prepare, distribute, and file minutes. Coordinate between internal groups (Business Development, Administration, Cost Estimating, Shop Production, Project Delivery/Management) to keep projects on schedule and within budget. Coordinate externally with subcontractors, vendors, clients, and owners to ensure seamless project execution. Execution Documentation and Reporting Create and manage project files including correspondence, project photos, and standard project logs for RFIs, Submittals, Change Orders, Invoicing, and Photo Documentation. Assist in identifying changed conditions of the contract and the production, submission, and tracking of RFIs to clients, ensuring RFI responses are incorporated into project documentation. Respond to internal and external requests for information in a timely and organized manner, following up until tasks are complete. Assist in developing and tracking change orders, submitting and incorporating them into project documents as applicable. Identify and extract required submittals from project specifications and manage logs. Assist in preparing, submitting, revising, tracking, and reporting submittals through the approval process for the project duration. Assist with regular schedule updates, gathering information from team members related to shop operation schedules and field crew schedules to update internal and external project schedules. Track material, equipment, and purchase orders assigned. Contribute timely, thorough, and accurate information during project status update meetings with clients, vendors, subcontractors, other team members, and leadership. Budget Management Assist Project Manager(s) and Finance with information to produce pay applications and invoices. Assist in identifying leading indicators that may negatively impact costs or profit margins. Site Management As applicable, assist Project Manager(s) and Superintendents to coordinate manpower, material delivery, and equipment schedules for active projects, providing general on-site support. Quality Control Ensure administrative files are organized and secure; ensure information gathering and sharing is accurate and thorough. Project Close Out Assist Project Manager(s) and staff to collect, coordinate, and formalize all project documentation to close out both internally and externally. This includes creating PDFs of correspondence, consolidating final project management logs (RFIs, Submittals, Change Orders, Photo Logs), selecting project photos for the marketing team, preparing the project profile form, and assisting with financial information as requested. Qualifications Education / Experience Bachelor’s Degree in Construction Management, Historic Preservation, Project Management, Business Administration, or similar. 0-2 years of professional experience in construction, construction management, historic preservation, or project management. Experience in custom metal fabrication, industrial production, or historic preservation is a plus. Proficiency with MS Office Suite (Word, Excel, Outlook). Proficiency with PDF documentation in Adobe, Bluebeam, or similar. Skills Ability to read construction drawings and navigate specifications to extract information related to project requirements, submittals, and milestones. Ability to read and understand construction project schedules. Strong self-directed organizational skills; ability to work on multiple projects concurrently. Ability to adapt to change with clear verbal and written communications. Experience producing, revising, and formalizing written documentation such as reports and plans. Effective problem solving with a focus on client satisfaction.
