This role supports and assists the Community Manager in overseeing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track, and report all financial aspects.JOB DESCRIPTION
Daily transactions: collect and post rent, fees, and other payments; prepare daily bank deposits and reconcile bank accounts; prepare financial reports; process invoices and payables. Operate the property management software (Yardi/OneSite) and complete transactions, entering all required fields correctly, and performing updates, backups, and system integrity checks. Review resident files and accounting records to determine unpaid or late fees, communicate with residents, implement delinquency collection procedures, and enforce leases to maximize revenue. Review and submit vendor, contractor, and service provider invoices for payment by reconciling work performed or products purchased, obtaining community manager approval, coding charges to the appropriate Chart of Account, and facilitating communication among vendor, accounting, and client/owner. Follow company eviction procedures: proper notice, eviction execution, and representation in court hearings and proceedings. Process resident move‑outs: review lease terms and notice requirements, apply deposit and lease cancellation fees as applicable, and commission disposition per established procedures and legal requirements. Promote resident satisfaction and retention by responding to complaints, questions, and requests promptly and taking appropriate actions to resolve service issues. Act as on‑site supervisor when the community manager is absent by organizing and delegating daily work, coordinating maintenance and make‑ready tasks with the maintenance supervisor, and managing community operations in compliance with company policies and procedures. Assist in managing client/owner relationships: meet owners, conduct community tours, provide performance updates, and respond to owner requests. Assist or support leasing and marketing: greet prospective residents; gather prospect information via Guest Card; show ready apartments/models; close leases and obtain deposits; assist with rental applications and credit verification. California only: Review all completed move‑in files prior to submission for community manager approval.BASIC KNOWLEDGE & QUALIFICATIONS
Bachelor’s degree in Business Management, Communications, or a related field from an accredited college or university. 1–3 years of relevant experience in residence life and/or property management demonstrating community management, sales, marketing, and customer service skills sufficient to assist in day‑to‑day operations, resolve complaints, complete financial records, increase sales, and coordinate a team. Understanding of lease terms, enforcement, and collections. Excellent written and verbal communication skills. Detail‑oriented and self‑motivated with the ability to work independently and collaboratively.SPECIALIZED SKILLS
All licenses and/or certifications required by state and local jurisdictions. Valid driver’s license to operate a golf cart on property. Proficiency in Internet, word processing, spreadsheet, and database management programs. Strong proficiency in property management software (Yardi, OneSite, Entrata, etc.).TRAVEL / PHYSICAL DEMANDS
Work primarily in an office environment with frequent exposure to exterior elements; must access all exterior and interior parts of the property. Capacity to push, pull, lift, carry, or maneuver weights of up to 20 pounds independently and 50 pounds with assistance. Routine local travel for bank deposits, training, or other duties. Occasional travel for business meetings, training, or other duties.ADDITIONAL COMPENSATION
