Steamboat Springs School District is seeking an Office Manager to join the District team and support the Director of Teaching and Learning and provide general office support. SSSD is consistently awarded "Accredited with Distinction" by the Colorado Department of Education and ranked as a top school district in the state. This is a full time, year round position, 233 work days with excellent benefit eligibility.
Pay range: $29.98 - $33.98/hour, depending on experience, up to 9 yrs previous admin experience considered. PRIMARY RESPONSIBILITIES:
Teaching and Learning Support
ESSENTIAL JOB FUNCTIONS: Mental Functions: While performing the duties of this job, the employee is frequently required to compare, analyze, communicate, use interpersonal skills, and compile. Ability to effectively present information and respond professionally to questions from groups of parents, community members, commissions, colleagues and Board of Education. Mathematical Skills: Ability to calculate figures and amounts such as interest, discounts, commissions, proportions, percentage, circumference, and volume. Ability to apply concepts of basic algebra, and geometry. Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram forms, and deal with several abstract concrete variables. Other Skills And Abilities: Ability to apply knowledge of current research and theory in education. Ability to establish and maintain effective working relationships with staff and community. Ability to communicate clearly and concisely both in oral and written form. Ability to copy, coordinate, instruct, evaluate and negotiate. Ability to perform duties with awareness of all district requirements and Board of Education policies. Ability to maintain confidentiality. Physical Demands: While performing the duties of this job, the employee is frequently required to sit, talk, or hear. The employee is occasionally required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Teaching and Learning Support
- Assist teachers and administration with scheduling logistics of professional development and training sessions and events (ie hotels, transportation) Coordinates Professional Development travel arrangements per DTL approval
- Assist DTL with meeting logistics, including coordination and scheduling support for events and meetings for instructional team needs
- Help set up meeting space. Help communicate meeting schedules and logistics to meeting participants. Prepare materials in advance.
- Make certificates for professional development and teacher induction programs. Assist tracking of staff completing district Professional Development.
- Assist with the ordering, tracking and distribution of curriculum materials and general office needs orders of DTL and staff
- Provide support to DTL with the management of credit card and district curriculum purchases
- Provide support for all T&;L contracts including tracking management, and finalization
- Assist DTL with staff, parent, and student communication, including EL/EB families
- Provide support to prepare, and monitor and monthly tracking of the budget for teaching & learning
- Work with the Grant team for grant budget management and tracking and assist in preparing applications with narrative and data
- Manage and is key contact and user regarding educator evaluation system (RANDA) ensuring annual set up and assignments are correct including additions/updates through the year.
- Be knowledgeable about Student data system and state reporting needs; provide support for Student data system staff and building staff completing these reports.
- Assist Assessment & School Improvement Coordinator in gathering data and building reports for staff, administration, board and public
- Provide support to the DAC on state assessments
- Assist the emerging bilingual program by working closely with staff and community resources
- Provide administrative support to the School Improvement Coordinator and Instructional coaches
- Assist with job applications and job posting related to Teaching and Learning department
- Assist in timeclock management for classified staff reporting to DTL
- Manage DTL monthly credit card reconciliation for orders and purchases
- Preschool support as needed
- Assists with clerical needs for Teaching and Learning requirements, including but not limited to Monitoring Reports; Educator Effectiveness, Curriculum Development and Review, State Assessment Reports, and Staff Development
- Works on District-wide projects for community engagement
- Purchases Teaching & Learning materials when needed;
- Serves as primary District building and office reception, answers District main phone incoming phone calls, communicates messages, greets and assists walk-in visitors
- Support Superintendent and district directors as needed
- Maintains supply of current forms, applications, and other documents
- Mail/Package Duties:
- Retrieve, sort, open, and distribute all incoming mail at the district office.
- Post all outgoing mail for the district.
- Manage all UPS/FedEx mailings.
- Maintain DO office mailboxes for staff and interoffice mail needs. Support internal mail person as needed.
- Arrangements for the repair; maintenance of office equipment (copiers, postage meter ,shredder.)
- Orders supplies and other materials for the District Office
- Manage monthly credit card reconciliation for orders and purchases
- Maintain cleanliness of the office, conference rooms and kitchen area
- Monitors conference room use; maintains a clean, tidy space ready for use. Assist with calendar management and catering orders as requested
- Able to work independently; dependent attendance to ensure office coverage
- Assist as needed for the issuance of District office building keys/access
- Assists with ID badge system for granting appropriate access to staff members
- Assists in operation of DNA system to set/secure door locks throughout buildings
- Assists District Office staff as requested; crossed-trained to act as back-up for Executive Administrative Assistant duties for Board of Education meetings as needed
- Other duties as assigned
- QUALIFICATIONS:
- High School diploma required. Bachelors degree strongly preferred
- Previous office management and administrative experience preferred
- Bilingual ability preferred
- Able to work regularly scheduled days and hours for office coverage
- Computer proficiency with Google and Microsoft Office Suite
- Ability to work positively with staff, parents, and community
- Ability to maintain confidentiality
