Job Title: Service Coordinator
Job Description

The Service Coordinator oversees the flow of service requests, dispatches field technicians, and ensures customers receive timely and efficient support. This role suits someone with a background in logistics, dispatching, HVAC service, or related industries who enjoys working in a fast-paced environment, coordinating schedules, and delivering excellent customer service. While knowledge of boilers, burners, and mechanical systems is helpful, it is not required.

Responsibilities

  • Receive and document incoming customer calls and service requests in a clear and organized manner.
  • Prioritize service calls based on urgency, safety considerations, and customer needs.
  • Dispatch technicians to appropriate jobs and locations, ensuring the right resources are assigned to each task.
  • Coordinate emergency service calls and after-hours situations to ensure prompt response.
  • Schedule service work and projects in collaboration with management, optimizing technician availability and workload.
  • Maintain awareness of local geography, traffic patterns, and travel times to maximize route efficiency.
  • Communicate effectively and consistently with technicians, customers, and office personnel to keep all parties informed.
  • Monitor job status throughout the day and make scheduling adjustments as needed to address delays or new priorities.
  • Provide exceptional customer service by maintaining a professional, courteous, and positive attitude in all interactions.
  • Work closely with management to ensure customers receive timely service and that service commitments are met.
  • Use computer systems and dispatch or service management software to track, update, and manage service activities accurately.
  • Maintain accurate records of service calls, schedules, and job outcomes to support reporting and continuous improvement.
Essential Skills
  • High school diploma or equivalent.
  • Excellent verbal and written communication skills to interact effectively with customers, technicians, and office staff.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Proven ability to multitask and perform well under pressure in a fast-paced environment.
  • Positive, professional attitude and the ability to work collaboratively with employees and customers.
  • Strong computer skills, including proficiency with office software and the ability to learn dispatch or service management tools.
  • High attention to detail when recording information, scheduling work, and updating job status.
  • Knowledge of local geography and travel routes to support efficient dispatching and scheduling.
Additional Skills & Qualifications
  • College degree is preferred but not required.
  • Experience in logistics, scheduling, or dispatching, particularly in service-based environments.
  • Previous experience with HVAC, boiler, mechanical, or industrial service companies.
  • Understanding of how service-based companies prioritize emergency work versus scheduled maintenance and projects.
  • Experience using dispatching or service management software to coordinate field activities.
  • Familiarity with boilers, burners, and mechanical systems is helpful but not required.

Work Environment

The Service Coordinator works in an office-based environment focused on coordinating field service activities. You will use computers, office software, and dispatch or service management systems throughout the day to manage schedules, track job status, and communicate with technicians and customers. The work involves frequent phone and digital communication, as well as real-time schedule adjustments in a dynamic setting. Standard office attire is expected, and the role requires sustained attention to detail and comfort working in a structured, professional office atmosphere.

This is a Contract to Hire position based out of Theodore, AL.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
