Dental Marketing Coordinator

POSITION: Dental Marketing Coordinator RESPONSIBLE TO: CAO DAYS: Monday – Friday HOURS: 8am – 5pm Primary Goal: To increase referral volume, strengthen relationships with referring providers, and drive measurable growth in patient appointments and revenue through effective referral marketing strategies. Position Summary : Responsible for developing, managing, and growing referral relationships that drive patient acquisition and practice growth. This position focuses on building partnerships with referring dentists, specialists, healthcare providers, community organizations, and local businesses while promoting the practice's services and maintaining strong professional relationships. The ideal candidate is outgoing, organized, and results-driven, with experience in healthcare marketing and business development. Key Responsibilities Referral Relationship Development Establish and maintain strong relationships with general dentists, specialists, physicians, orthodontists, and other healthcare providers. Conduct regular office visits to current and prospective referral sources. Develop strategies to increase referral volume and strengthen referral retention. Serve as the primary point of contact for referral partners. Business Development Identify new referral opportunities within the community. Create and implement referral growth initiatives aligned with practice goals. Develop partnerships with local businesses, schools, employers, and healthcare organizations. Attend networking events, professional meetings, and community outreach activities. Marketing & Communication Create referral marketing materials, presentations, and promotional campaigns. Coordinate referral appreciation events, educational seminars, and lunch-and-learn programs. Maintain communication with referral partners through newsletters, email campaigns, and follow‑up visits. Promote the practice’s services and clinical expertise to referral sources. Data Tracking & Reporting Monitor referral trends and analyze referral source performance. Maintain accurate referral databases and contact records. Prepare monthly reports on referral growth, provider engagement, and marketing outcomes. Utilize CRM and practice management software to track activities and opportunities. Patient Experience Support Ensure referred patients receive a seamless experience from referral to treatment completion. Coordinate communication between referral offices and clinical teams. Support referral partners with status updates and treatment follow‑up information. Address referral concerns and ensure high levels of partner satisfaction. Qualifications Associate or Bachelor's degree in Marketing, Business, Communications, Healthcare Administration, or related field preferred. 2+ years of experience in healthcare marketing, dental marketing, physician liaison, or business development. Experience working with referral networks and relationship management preferred. Strong understanding of dental terminology and specialty services is a plus. Proficiency with Microsoft Office, CRM systems, and social media platforms.
