Commercial Property ManagerPosition Overview

We are seeking an experienced Commercial Property Manager to oversee the day-to-day operations, financial performance, and tenant satisfaction for a portfolio of commercial real estate assets. This role serves as the primary point of coordination for property-related activities, ensuring buildings are well-maintained, financially sound, and operating in accordance with lease agreements and company standards.

The ideal candidate is highly organized, customer-focused, and capable of managing multiple priorities across several properties while working collaboratively with internal departments and external partners.

Key ResponsibilitiesProperty Operations

• Oversee the daily operation and maintenance of assigned commercial properties.
• Conduct routine site inspections to identify maintenance needs, safety concerns, and property improvement opportunities.
• Coordinate repairs, preventive maintenance, and building service activities to ensure properties remain in excellent condition.

Tenant Services

• Serve as the primary contact for tenant inquiries, requests, and concerns.
• Foster strong tenant relationships through responsive communication and proactive problem resolution.
• Coordinate tenant move-ins, move-outs, and lease-related activities as needed.

Lease & Contract Administration

• Maintain a thorough understanding of lease provisions and ensure compliance with lease obligations.
• Track critical lease dates, renewals, notice periods, and tenant responsibilities.
• Support lease administration and documentation processes.

Financial Oversight

• Monitor property budgets and operating expenses.
• Review invoices for accuracy and assist with the approval and payment process.
• Partner with accounting teams on accounts receivable, collections, reconciliations, and financial reporting.
• Identify cost-saving opportunities while maintaining service and property standards.

Vendor & Project Coordination

• Manage relationships with service providers, contractors, and vendors.
• Obtain bids, negotiate services, and monitor vendor performance.
• Coordinate capital improvement projects, tenant improvements, and facility upgrades from planning through completion.

Risk Management & Compliance

• Help ensure properties comply with applicable regulations, safety standards, and insurance requirements.
• Address potential risks and liability concerns in a timely manner.
• Maintain accurate property records, reports, and operational documentation.

Success Measures

The Commercial Property Manager will be expected to:

• Deliver high levels of tenant satisfaction through timely response and follow-through.
• Maintain attractive, safe, and well-operated properties.
• Ensure maintenance requests and property issues are resolved efficiently.
• Monitor and control operating expenses within approved budgets.
• Manage delinquency and collection matters proactively.
• Maintain accurate records, reports, and financial documentation.
• Stay ahead of lease obligations, renewals, and critical deadlines.
• Build productive relationships with tenants, vendors, and internal stakeholders.

Qualifications

• Minimum of five years of commercial property management experience.
• Experience overseeing office, industrial, retail, flex, or mixed-use commercial assets.
• Strong understanding of commercial leasing, CAM reconciliations, budgeting, property operations, and accounts receivable.
• Experience coordinating maintenance teams, contractors, and service providers.
• Excellent verbal and written communication skills.
• Strong organizational, time-management, and problem-solving abilities.
• Ability to manage multiple buildings, projects, and tenant priorities simultaneously.
• Comfortable taking ownership of issues and driving them through resolution.
• Proficiency with Microsoft 365 applications, including Outlook, Excel, Word, and Teams.
• Experience with property management software such as Yardi is a plus.
• Valid driver's license and ability to travel regularly between assigned properties.
