School Office Health Assistant
The Health Office Assistant works in close collaboration with the District Registered Nurse (RN) to provide high-quality direct student care, manage health office operations, and ensure district-wide medical compliance. This role requires a blend of clinical competence, administrative organization, and communication skills to support the health, safety, and academic success of students across multiple district buildings.
Key Responsibilities & Essential Functions
- Direct Student Care & Health Office Management
- Medication Administration: Safely administer prescribed medications; monitor students for potential side effects; obtain required physician orders and parent signatures.
- Daily Care & First Aid: Provide first aid, triage, and daily medical treatments to students presenting to the sick room.
- Student Tracking: Proactively locate and follow up with students who miss scheduled medication administration times.
- Field Trip Support: Accompany students with specific medical and health-related needs on field trips to ensure their safety and care.
- Health Care Coordination & Family Outreach
- Care Plan Assistance: Assist the District RN in developing, coordinating, and implementing individualized Health Care Plans for students with complex medical diagnoses.
- Family Liaison: Reach out to families of students recovering from long-term illnesses, surgeries, accidents, or sports injuries to facilitate a safe return to school.
- Concussion Care: Utilize knowledge of concussion signs and symptoms to consult and communicate ongoing care with athletic trainers, teachers, counselors, and staff.
- Medical Compliance & Reporting
- Immunization Compliance: Audit enrollment records for all existing and new students to ensure they meet school-age immunization requirements.
- State Reporting: Utilize the Minnesota Immunization Information Connection (MIIC) database and successfully complete the annual Minnesota Department of Health (MDH) report by December 1.
- Staff Communication: Compile and securely distribute annual health summaries and critical care plans (e.g., food allergies, seizures, diabetes, asthma) to relevant educational staff.
- Special Education & Specialized Screening Services
- Evaluations & Screenings: Complete vision, hearing, height, and weight screenings (including referrals) for students, including early childhood screenings for Li'l Lumberjacks.
- Special Education Support: Attend Child Study Team meetings; assist special education staff with health file reviews, parent interviews, and medical evaluations.
- Medicaid/Third-Party Billing: Document and enter direct nursing services into the Sped Forms system for eligible students.
- Special Ed Classroom Support: Provide clinical or paraprofessional support within Special Education classrooms as needed.
- District Flexibility & Floater Coverage
- District-Wide Coverage: Maintain the flexibility to float between district buildings to cover nurse absences or regular lunch shifts.
- Primary Sites: Cloquet Middle School, Washington Elementary, Churchill Elementary, Northern Lights Academy.
- On-Call / As-Needed Sites: CAAEP/Garfield, Queen of Peace.
- Programmatic Support: Assist with the Middle School "Growing & Changing" program each spring.
Position Requirements & Qualifications
- Education/Licensure: Current Minnesota Registered Nurse (designated as RN), or Licensed Practical Nurse (designated as LPN) or Certified Medical Assistant (designated as CMA) license or eligibility is required. Current certification in Cardio-Pulmonary Resuscitation (CPR) required.
- Technical Skills: Experience with MIIC (Minnesota Immunization Information Connection) and Sped Forms (or a willingness to quickly learn specialized education billing/health software).
- Clinical Knowledge: Strong fundamental knowledge of pediatric first aid, medication administration, and concussion protocols.
- Soft Skills: High level of flexibility, excellent cross-functional communication skills (with parents, educators, and athletic trainers), and a strong sense of student advocacy.
- Travel: Ability to travel between district sites during the school day as needed.
Salary and Benefits
The starting pay for this position is between $24.00 - $24.67/hr. and is based on the 2026-2028 AFSMCE PAC Contract. You will be eligible for paid sick and safe time, and personal leave.
