About the Role


A busy manufacturing office is seeking a sharp, proactive Accounts Payable Specialist to join a small core team responsible for day-to-day office and financial operations. This role reports directly to management and requires someone who can take full ownership of billing workflows while ensuring accuracy and efficiency in a fast-paced environment.


The ideal candidate is a critical thinker who stays productive under pressure and takes pride in maintaining precise financial data. While the primary focus will be accounts payable, there is opportunity to expand responsibilities across multiple entities as proficiency in the role grows.

What Your Day Looks Like

• Full Ownership of Payables:
  Receive, verify, and enter all vendor invoices against packing lists and purchase orders with complete accuracy, ensuring proper GL coding and alignment. (Note: This role handles entry and verification; payment execution is handled separately.)
• Order Data Management:
  Manage data entry and supporting documentation for specialized orders within an internal system.
• Collections Support:
  Spend approximately 3 hours per week reviewing aging reports and performing professional follow-ups via phone and email.
• Daily Runs:
  Handle daily bank deposits and post office runs at 11:00 AM. Requires use of a personal vehicle.
• Front Desk Coverage:
  Serve as primary backup for reception, covering phones and front desk duties daily from 12:00 PM - 1:00 PM.
• Filing & Organization:
  Maintain accurate and organized physical and digital filing systems for invoices and statements.
• Team Support:
  Assist with order processing, logistics, or accounts receivable tasks during high-volume periods or staff absences.

Requirements

• 2-4 years of experience in accounts payable, high-volume data entry, or structured office support
• Advanced proficiency in Microsoft Office (especially Excel and Outlook)
• Comfort learning proprietary systems and databases
• Valid driver's license and reliable personal vehicle for daily local runs
• Strong time-management skills and ability to stay focused in a fast-paced environment
