Work location: The selected candidate's work location may be headquartered in Austin or any of the following 25 TxDOT District offices located in Abilene, Amarillo, Atlanta, Austin, Beaumont, Brownwood, Bryan, Corpus Christi, Childress, Dallas, El Paso, Fort Worth, Houston, Laredo, Lubbock, Lufkin, Odessa, Paris, Pharr, San Angelo, San Antonio, Tyler, Waco, Wichita Falls, and Yoakum.
Position Title, Salary Grade/Range: Administrative Assistant III, A17: $42,976-$64,469 Administrative Assistant IV, A18: $45,521-$71,055 This position is for Administrative Assistant III or IV. The Texas Department of Transportation reserves the sole right in determining the level of position based on the applicant's work experience, education, skill level, and all other appropriate factors, and based on business needs.

Position Description Administrative Assistant III/IV Performs administrative office support-related work for department staff, the general public, and one or more projects and/or specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. May serve as a lead worker. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Essential Duties: Administrative Assistant III Prepares correspondence and applicable recurring or special one-time reports and reviews actions drafted by others. Enters information into databases and processes letters to customers. Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed. Edits correspondence/production work for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content and clarity. Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, travel and information. Prepares, assembles, reviews and verifies various documents and/or forms. Receives, sorts, opens, evaluates content and distributes mail. Runs queries and reports in a variety of applications/systems. Processes receipts/bills for payment. Performs other job responsibilities as assigned.
Administrative Assistant IV All of the above and: Composes and prepares correspondence and applicable recurring or special one-time reports requiring an understanding of technical matters and/or confidential and sensitive communications. Monitors and maintains suspense logs, records and various files. Reviews correspondence and reports drafted by others. Reviews information going to the supervisor and highlights important matters; researches and provides additional information as needed. Uses database, spreadsheet or graphics software applications to prepare complex statistical reports and/or presentations and verifies for accuracy and completeness. Receives, sorts, opens, evaluates content and distributes mail; as required may drive to deliver/pick up confidential or time sensitive correspondence.
Minimum Qualifications: Education: High School Grad or Equivalent in general education. Experience: Administrative Assistant III - 3 years of experience in administrative or clerical support, customer service, business operations, communications, informational, or related experience. Administrative Assistant IV - 4 years of experience in administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications Licenses and Certifications: Valid driver's license. This position requires driving a state vehicle.

Preparing correspondence/documents using correct spelling, grammar and punctuation; proofreading and reviewing documents for clarity and consistency Using computers and applicable programs, applications and systems Maintaining a safe work environment Communicate effectively Administrative Assistant IV All of the above and: Researching, evaluating and interpreting complex information Public relations for maintaining effective working relationships with individuals and groups The responsibilities associated with secretarial and office procedures to include the use of proper business telephone etiquette, internal communication strategies and use of basic office equipment Maintains composure when handling problems, stressful situations, continuous change or unexpected developments
