The SD Air National Guard is seeking a qualified Senior Secretary to provide professional, high-level clerical and secretarial support for the civil engineer squadron. This position requires independent judgement, analysis, and the ability to organize program activities to ensure the central office runs smoothly and efficiently.

Duties may include, but are not limited to managing incoming and outgoing distribution and correspondence; maintaining the electronic publications library, forms, and travel orders; and keeping file maintenance and disposition of records in the Records Information Management System (RIMS). The incumbent will coordinate and process travel requests and arrangements for civil engineering personnel (including DTS authorizations and vouchers), process time and attendance paperwork, and monitor the civilian awards program. Additionally, this role serves as a central point of contact for office administrative tasks, greeting visitors, answering multi-line phone inquiries, and handling the ordering, receiving, and tracking of office supplies. The incumbent will operate a variety of standard business machines and computer software to support the overall functions of the engineering offices.

The total compensation of Hourly Wage + State/Federal Benefits for a typical year for entry level Senior Secretary is approximately $58,653.71 annually.

The Ideal Candidate Will Have:
Experience providing advanced secretarial support, managing electronic records and filing systems, coordinating travel arrangements, and operating a variety of modern office equipment and software programs. The ideal candidate will be highly organized, capable of self-managing their time for maximum efficiency with minimum supervision, and possess the ability to deal professionally with a variety of personnel who depend on the civil engineer squadron.

Knowledge, Skills, and Abilities:

Knowledge of:

• business/Air Force writing including grammar, spelling, punctuation and formatting;
• modern office equipment, practices, and secretarial procedures;
• computer software applications (Microsoft Suite including word, excel, powerpoint, M365 and Power BI);
• general record keeping, file maintenance, and records management systems;
• Defense Travel System (DTS) and travel order preparation (preferred).

Skill to:

• operate computers and use Microsoft Office Suite;
• operate standard business and office machines (multi-functioning copiers, scanners, multi-line phone systems, etc.);
• type accurately and set up copy in a variety of formats (narratives, correspondence, tables);
• proofread and edit rough copy for grammar, spelling, syntax, and style.

Ability to:

• communicate in a concise and effective manner, both orally and in writing;
• organize and coordinate multiple activities, set priorities, and monitor progress;
• display high standards of ethical conduct and treat customers and visitors courteously;
• exercise sound judgment, tact, patience, and discretion in communicating and dealing with persons of varying backgrounds;
• accurately record, file, and transmit information;
• read and comprehend written materials, instructions, and policies;
• establish and maintain effective working relationships with coworkers, supervisors, and the general public.
