Administrative Assistant (Part-Time, 20 hours/week)

- Support the President/CEO and Leadership Team in advancing the organization's mission and strategic priorities.
- Manage complex calendars and coordinate meetings that drive organizational impact.
- Serve as a point of communication on behalf of the President/CEO, handling correspondence with professionalism and care.
- Prepare, review, and edit documents, ensuring clarity and alignment with organizational standards.
- Coordinate Board of Directors and committee activities, including scheduling, materials preparation, and minutes.
- Track Board member terms, committee assignments, and organizational reporting requirements.
- Organize and maintain critical administrative systems, including governance documents and agency policies.
- Coordinate travel arrangements and special projects for leadership as needed.
- Assist in preparing reports and materials that measure progress toward JFS strategic goals.
- Support agency-wide meetings and communications, reinforcing transparency and collaboration.
- Provide general administrative support, contributing to the smooth functioning of daily operations.
- Minimum of an Associate's degree in business or management
- Minimum of 3 years related experience supporting at the executive level.
- Strong word/data processing skills with expert knowledge of Microsoft Office 365 is required.
- Experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision.
- Be exceedingly well organized, flexible and enjoy the administrative challenges of supporting the President/CEO and Leadership Team. The ability to interact with staff (at all levels), the Board of Directors, community leaders and other business partners in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
- Expert-level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.Must have a valid driver's license, access to reliable vehicle, and automobile insurance coverage throughout employment.
- Knowledge, understanding, and/or willingness to learn Jewish culture and traditions and those of the Agency population as necessary.
- Accept other duties and responsibilities as assigned.
- Candidates must successfully pass a criminal background check with the Wisconsin Department of Justice and a caregiver background check with the Wisconsin Department of Health Services, the Department of Children and Families and the Department Safety and Professional Services.
- Candidates must pass a Dru Sjodin National Sex Offender and Wisconsin Sex Offender Registry screening.
