Overview
We are seeking a professional and personable Receptionist to join our dynamic team. This vital role serves as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing front desk operations. The ideal candidate will possess excellent organizational skills, strong communication abilities, and a proactive approach to office management. This position offers an opportunity to contribute to a well-organized, customer-focused workplace by providing exceptional administrative support and maintaining seamless office operations.
Duties
- Greet visitors and clients warmly, directing them appropriately and ensuring a positive first impression
- Manage multi-line phone systems with professionalism, answering inquiries and transferring calls efficiently
- Handle incoming and outgoing correspondence, including emails, mail, and deliveries
- Maintain accurate appointment scheduling and calendar management for staff members
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace to prepare reports, memos, and other administrative documents
- Support office management tasks such as supply inventory, equipment maintenance, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries promptly and courteously
- Assist with clerical duties including typing, proofreading, and maintaining organized records
- Coordinate with team members to ensure smooth daily operations and effective time management
Qualifications
- Proven experience in front desk or office administration roles; previous receptionist experience preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Minimum typing speed of 40 WPM
- Familiarity with multi-line phone systems, data entry, filing systems, and basic bookkeeping software such as QuickBooks
- Excellent organizational skills with keen attention to detail and accuracy
- Outstanding customer service skills combined with professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Prior experience in medical or dental receptionist roles is advantageous but not required
- Strong time management skills with the ability to prioritize tasks effectively
