Department: Accounts Payable Reporting Manager: Director of Finance Position Status: Full time FLSA Level: Varies Revised: 04/03/2025 Essential Functions / Responsibilities of the Position Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records. Facilitates payment of vendors, including verification of federal ID numbers, review of purchase orders, and resolution of discrepancies. Verifies non‑excluded entities or individuals; ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop‑payment orders as needed. Assists with accounting records and ledgers by reconciling monthly statements and transactions. Facilitates adjusting journal entries. Creates general journal entries. Enters accruing entries as required. Performs monthly reconciliation and closing entries. Works well with other departments to solve problems or answer questions. Removes sales tax from orders and other items. Other related duties as assigned by the Director or CFO. Position Qualifications Education: Associate's or Bachelor's degree in accounting. Experience: 2+ years of accounting experience preferred. Certifications: Certified Accounts Payable Professional (CAPP) certification preferred. Skills Must be reliable and extremely trustworthy. Proficient in Microsoft Office Suite or related programs. Able to learn other accounting software systems. Excellent organizational skills and attention to detail. Ability to maintain confidential and meticulous records. Position Requirements and Working Conditions Physical Activities Ascending or descending stairs and the like. Remaining in a stationary position, often standing or sitting for prolonged periods. Moving about to accomplish tasks. Communicating with others to exchange information. Repeating motions that may include the wrists, hands, and/or fingers. Travel to meet with various stakeholders. Assess risk; detect risk factors for site safety purposes by being aware of surrounding environment, individuals, noises, observations, etc. Environmental Conditions Low temperatures. High temperatures. Outdoor elements such as precipitation and wind. Noisy environments. Hazardous conditions. Poor ventilation. Small and/or enclosed spaces. Adverse environmental conditions expected. Physical Demands Sedentary work that primarily involves sitting/standing. Light work that includes moving objects up to 20 pounds. Medium work that includes moving objects up to 50 pounds. Heavy work that includes moving objects up to 100 pounds or more.
