Pay Grade: 503 Salary Range: $55,850 - $67,283 Duty Days: 239 FLSA Status: Exempt Position Purpose Provides specialized support and oversight for student academic records and data integrity within the districts Student Information System. This position serves as a primary resource for campus data clerks, ensuring the accurate and timely completion of academic history updates, maintenance of student records, and compliance with district, state, and federal reporting requirements. The Secondary Student Engagement Specialist monitors, validates, and audits academic data; runs and verifies grade point average (GPA) calculations and class rank processes; and collaborates with campuses to ensure the accuracy, consistency, and reliability of student information used for academic decision‑making, accountability, graduation verification, and postsecondary reporting. Through training, technical assistance, and quality‑control procedures, the position supports the integrity of student records and promotes efficient campus data management practices across the district. Essential Job Functions Supports campus data clerks in the accurate and timely entry, maintenance, and updating of student academic history records in the Student Information System (SIS). Reviews, processes, and validates academic history changes, including course credits, grades, transfers, and graduation requirements. Runs, monitors, and verifies GPA and class rank calculations according to district policies and procedures. Conducts routine audits of academic records, GPA calculations, and class rank data to ensure accuracy and data integrity. Researches, troubleshoots, and resolves SIS‑related academic history, GPA, and rank discrepancies in collaboration with campus and district staff. Provides technical assistance, guidance, and support to campus data clerks regarding student records and academic data management procedures. Develops and delivers training for campus personnel on SIS processes, academic history maintenance, GPA calculations, and class rank procedures. Creates and maintains procedural documentation, guidelines, and resources related to academic records management and SIS functionality. Coordinates timeline‑driven processes related to GPA, rank, graduation verification, transcripts, and academic reporting. Collaborates with counselors, registrars, campus administrators, and district staff to ensure compliance with district, state, and federal requirements governing student records. Generates reports and performs data analysis to identify errors, trends, and data quality concerns. Assists with SIS upgrades, testing, process improvements, and implementation of new functionality related to student academic records. Maintains confidentiality and security of student information in accordance with applicable laws, regulations, and district policies. Supports district accountability, state reporting, graduation audits, and transcript‑related processes through accurate data verification. Demonstrates flexibility in scheduling and availability, including extended or adjusted work hours during peak compliance periods, monitoring cycles, and critical deadlines, to ensure timely and accurate execution of responsibilities. Safety Performs preventive maintenance on tools and equipment and ensures equipment is in safe operating condition. Follows established safety procedures and techniques to perform job duties including lifting and climbing; operates tools and equipment according to established safety procedures. Corrects unsafe conditions in the work area and promptly reports any conditions that are not immediately correctable to the supervisor. Supervisory Responsibilities None. Knowledge of data validation, auditing, and quality assurance practices. Knowledge of database concepts, reporting tools, and data management principles. Knowledge of office productivity software, including spreadsheets, databases, and reporting applications. Knowledge of district policies and procedures related to student records and academic reporting. Skill in strong analytical and problem‑solving skills. Skill in data auditing and verification skills with exceptional attention to details. Skill in technical troubleshooting skills related to student information systems. Skill in effective written and verbal communication skills. Skill in organization and time‑management skills, including the ability to manage multiple deadlines simultaneously. Skill in report generating and data analysis skills. Skill in customer service and support skills for assisting campus personnel. Skill in documentation and process improvement skills. Ability to accurately analyze and interpret complex student academic records. Ability to identify, investigate, and resolve data discrepancies independently. Ability to maintain a high level of accuracy while working with large volumes of data. Ability to understand and apply district policies and business rules related to GPA and class rank calculations. Ability to communicate technical information effectively to users with varying levels of technical expertise. Ability to build and maintain effective working relationships with campus and district personnel. Ability to prioritize workload and meet critical deadlines associated with grading, ranking, graduation, and state reporting timelines. Ability to exercise sound judgment and maintain strict confidentiality regarding student information. Ability to work independently while collaborating effectively as part of a district support team. Travel Requirements Travels to school district buildings and professional meetings as required. Physical & Mental Demands, Work Hazards Tools/Equipment Used: Standard office equipment, including computers and peripherals; standard instructional equipment Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching Lifting: Occasional light lifting and carrying (less than 15 pounds). Environment: Works in an office setting; may require irregular and/or prolonged hours. Frequent Districtwide travel. Attendance: Regular and punctual attendance at the worksite is required for this position. Mental Demands: Maintains emotional control under stress; works with frequent interruptions. Minimum Required Qualifications Education: Bachelors degree required. Experience: Minimum of three (3) years of experience in student information systems, student records management, transcripts, PEIMS, counseling support, or related campus, or district‑level student data functions. Experience validating, auditing, and maintaining student academic records and supporting compliance with district, state, and federal reporting requirements preferred. Experience providing training, technical assistance, and support to campus personnel regarding student information systems and student records processes preferred.
