Position: Customer Service Representative Location: Waycross, GA Job Id: 258 # of Openings: 1 Boswell Oil Company is a dynamic growth-oriented distributor of lubricants and fuels to wholesale, retail, and commercial end user markets throughout Georgia. We are seeking an experienced Customer Service Representative for our company. Previous sales support or customer service experience required and petroleum sales support experience is strongly preferred. The ideal candidate is customer service oriented, friendly, excels at time management, and impeccably organized. We are willing to have this position based in either Waycross or Albany. It is posted separately for each location, but there is only one open position. The typical schedule will be Monday through Friday 8a-5p. To meet customer need there may be schedule flexibility. Compensation will be commensurate with experience. SUMMARY: Support the daily operations of assigned location(s) sales and customer service functions including sales order entry and onsite visitor reception. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. These are functions a qualified incumbent or applicant must be able to perform with or without reasonable accommodation. Create or complete sales orders based on customer request and to support the Sales team. Orders may be received over the phone, via email, in-person, or through order placing software. Verify the details of an order as needed to ensure the highest level of timely service to our customers. Greet walk-in customers while answering telephone calls and emails from customers and clients and directing them to relevant staff. Work as a team with other customer facing positions to ensure consistent coverage of customer/visitor reception, phones, etc per location’s business hours. One example is shifting work space within your location to cover breaks/lunch for a coworker. Act as a liaison between the Sales, Service, and Operations departments to promote smooth and effective customer service. Monitor office supply inventory and order as needed via coordination with Business Manager. Maintain and update customer profile sheets as needed. Includes gathering information like credit applications for new customers. Monitor order variances and coordinate with necessary departments for resolution. Report project progress to senior management and working with them to improve operations and procedures. Maintain neat and accurate filing systems that facilitates fast retrieval, particularly for Sales department, and ensure that customer files and databases are maintained. Follows all department policy and procedures. Assist in standardizing the methods in which work will be accomplished. Provide and/or compile data for reports and analysis, particularly those related to Sales. Prepare reports & sheets for senior management and customers as appropriate. Follows prescribed safety rules and fosters an environment where employee safety is a top priority. Maintains cleanliness of work area and equipment. Other duties as assigned. OTHER (Non-Essential) FUNCTIONS: Includes functions, which are normally performed by persons holding this title. However, these functions may be assigned to other employees as part of a “Reasonable Accommodation” under the ADA. Generate sales reports as needed. Creating proposals for new and existing customers per request. Assist with preparation of sales presentations as needed. Assist with month-end reporting as needed, particularly for Sales. Create and maintain tracking spreadsheets or databases for sales assets including but not limited to deadstock and hot fuel. Crosstrain to support other departments/areas, like dispatching service techs for service orders. Schedule and, as needed, participate in departmental meetings. Coordinate travel, correspondence, and other administrative needs of the company’s executives and owners. Serve as liaison to the executive staff. EDUCATION and/or EXPERIENCE: The minimum education required for this position is a high school diploma or equivalent, preferably an Associates Degree in business management or related field. Minimum 1 year experience in office or sales administration; or equivalent combination of education and experience. Previous experience in sales or sales support strongly preferred. LANGUAGE SKILLS: Ability to read, analyze, and interpret documents; to respond effectively to the most sensitive inquiries or complaints. Ability to read, speak, and write the English language. Ability to present prepared information to a variety of groups including drivers, employees, and management. MATHEMATICAL SKILLS: Ability to comprehend and apply the principles of mathematics. Ability to work with mathematical concepts such as fractions, percentages, ratios and proportions to practical solutions. Knowledge of costing and production methods in a manufacturing environment. REASONING ABILITY: This position requires an ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to define problems, collect data, establish facts, and draw valid conclusions. CERTIFICATES, LICENSES, REGISTRATIONS: Encouraged to possess and maintain a valid driver’s license and a driving record satisfactory to the Company and its insurers. OTHER SKILLS AND ABILITIES: Computer skills to include experience and working knowledge of Windows, Microsoft Outlook, Excel, Word, PowerPoint, and any Web Browser. Experience with an ERP, CRM, and/or Access system preferred.
