Description UC San Diego Health is seeking a collaborative, results-oriented Practice Supervisor to oversee the daily administrative and operational functions of our Community Care Primary Care, Sports Medicine, and Psychiatry clinics in Rancho Bernardo. This position reports directly to the Clinic Practice Manager and provides direct supervision of clinic operations staff, ensuring efficient workflows, exceptional patient service, regulatory compliance, and a positive, team-oriented work environment. Under the direction of the Practice Manager, the Practice Supervisor coordinates day-to-day clinic operations, manages staff performance and development, implements process improvements, and partners with clinicians and leadership to support high-quality, patient-centered care. The role oversees key administrative and clinical support functions, including patient registration, scheduling, insurance authorizations, medical records, revenue cycle support, facilities coordination, and medical assistant operations. As required, the Practice Supervisor also collaborates with interdepartmental leaders and provides operational support. Key Responsibilities Include Scheduling staff and coordinating daily clinic operations, implementing process improvements to ensure timely, compliant work. Training, coaching, and evaluating staff, including participating in hiring, performance, and disciplinary decisions. Overseeing patient reception, scheduling, and EMR workflows to ensure prompt, effective service. Resolving escalated patient and operational issues, filing incident reports, and triaging to leadership as needed. Ensuring staff compliance with IT systems, security protocols, and regulatory requirements. Managing revenue cycle functions such as charge capture, cash collection, and discrepancy follow-up. Coordinating facility maintenance and safety needs with Facilities/EHS. Managing resources within budget and supporting capital project proposals. Serving as a role model for staff in delivering excellent patient service. Minimum Qualifications Seven (7) years of related experience, education/training, OR a Bachelor’s degree in business, healthcare administration, or related area plus three (3) years of related experience/training. Three (3) or more years of relevant experience supervising or leading staff in a healthcare, ambulatory, or medical office setting. Three (3) or more years of relevant experience providing interdepartmental collaboration and operational support. Experience and proven success in skills to supervise support staff in clinic/center administration, and effectively manage multiple priorities in a fast-paced, dynamic environment. Knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, applicable information systems, patient service standards, and regulatory requirements. Basic knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to provide input to decision-making on human resources matters. Detail-oriented, with the ability to apply analytical and critical thinking skills to analyze problems quickly, determine appropriate level of intervention, and apply effective solutions. Solid interpersonal skills for effective information exchange and problem solving with all levels of management and staff, consultants, and outside agencies. Skills in written and verbal communications, with the ability to convey complex administrative, clinical, and technical information clearly and concisely, and to produce a variety of reports and analyses. Knowledge of business software and specialized applications and data management systems used in clinic/center operations. Preferred Qualifications Master's degree in related area and/or equivalent experience/training. Currently enrolled in a Lean Healthcare Yellow Belt certification course.
