DC Program Coordinator

Chesapeake Bay Outward Bound School Inc

Job Description

Job Description

Description:

About One-Day Programs

One-Day Programs are 4-6 hour events that use teambuilding exercises to deliver Social and Emotional Learning (SEL) outcomes based on Outward Bound’s Domains of Thriving (DoT) model. One-Day Programs are a flexible framework that can meet the needs of a wide variety of partners, including public, private and parochial schools for grades 5-12, colleges, educators, government entities, private businesses, non-profits, and many other community-based and youth-serving organizations. The success of One-Day programs begins with intentional curriculum planning and design before the program starts, and continues with quality facilitation and participant management throughout the day.

Position Summary

As the Day Program Coordinator (DPC), you will plan and oversee the day-to-day and week-to-week programming of CBOBS’ One-Day Programs offering at the DC location. During the main programming season (March to November), your primary recurring responsibility is to plan for the next two weeks of One-Day Programs.

In addition to planning for upcoming programs, the Day Program Coordinator (DPC) will work with the Associate Director of One-Day Programs, DC (ADOP) to support Staff development by preparing and leading Professional Development opportunities during Day Program Prep, tracking New Staff development through the TMF training process, and planning/leading weekly team meetings with the Instructional team.

On program days ( for year 1, typically Wednesday – Friday, some weekends), the Day Program Coordinator (DPC) will serve in the role of Program Supervisor or Site Manager, and will be an escalation point for Instructional Staff by providing support in emergencies and coaching them through challenges and last-minute changes.

In the “off-season” (November – February), the Day Program Coordinator (DPC) will work closely with the ADOP to review the year, invent and implement improvements to One Day Programs, and work across different departments to further the work of CBOBS.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Staff Training & Development -

  • Evaluate, support, and report on Instructional Staff’s performance and development as Facilitators in One-Day Programs through direct observation and by reviewing documentation like DoT Coaching Observations and T/M/F Training Packets.
  • Work with the Associate Director of One-Day Programs, DC to create development plans and professional development trainings.
  • Assist with the development and delivery of new and return Staff trainings, including the evaluation of staff skills and knowledge.
  • Oversee New Staff development through the 8-program TMF (Training, Main, Final) structure, ensuring they have the training, skills, and support to succeed as Instructors.
  • Assist in leading beginning of year and end of year check-ins with Instructional Staff.

Program Delivery -

  • Monitor the “ImSick” email for Staff absences. Alert Program Supervisors and support in adjusting plans accordingly.
  • Act as Program Supervisor and/or Site Manager during programs, helping to oversee the logistics and climbing safety of the program.
  • Positively represent CBOBS to participants and external partners by promoting the impact of Outward Bound programming.
  • Model a strong work ethic; promote a culture of feedback, collaboration, and growth; and instill a culture dedicated to mission delivery and service in the day program Staff.
  • Facilitate various types of One-Day Programs, especially Adult Teambuilding and Thriving Classroom programs.

Safety -

  • Follow and monitor all ACCT International Safety Policies and Outward Bound Charter Operating Policies and Procedures.
  • Support Program Supervisors, Site Managers, and Instructional Staff in creating a safe programming environment and responding to emergencies.
  • Document and report incidents in the Outward Bound Incident Reporting database. Work with the Associate Director of One-Day Programs, DC and Program + Safety Director to analyze incidents.

Equipment and Grounds Management-

  • Monitor reported grounds/equipment needs. Perform repairs on non-technical equipment. Plan and oversee the instructional staff in performing basic equipment and grounds maintenance.
  • In coordination with the Associate Director of One-Day Programs, DC, maintain facilitation spaces within THEARC by mulching, clearing brush, constructing small foot bridges, plant/insect remediation, and coordinating professional services when needed.
  • Oversee the budgeting and purchasing of non-technical equipment used in One-Day Programs.

Program Planning and Review -

  • Plan for upcoming programs on a weekly cadence by reviewing participant and outcome information, reviewing past course data in Salesforce, ensuring Staff shifts are accurate, and creating a curriculum packet for each program.
  • Plan and lead the weekly Day Program Prep for Instructional Staff, which includes creating a schedule, assigning “non-program work” tasks, and planning professional development opportunities based on Staff needs and upcoming programs.
  • Attend the weekly Program Planning Meeting with Account Managers and the Associate Director of One-Day Programs to discuss upcoming programs and share learnings from completed programs.
  • Review past course data on a weekly basis to ensure data reporting is complete, track trends, and follow up with the Program Team as needed.
  • Manage data collection for One-Day Programs, including determining appropriate groups to be surveyed which meet the data insight goals and ensuring adequate sample size and demographics.
  • With direction from the Training Manager and collaboration with the Associate Director of One-Day Programs, DC, oversee the long-term curriculum development projects for the One-Day Program.
