Real Estate Legal Assistant

A boutique, full-service law firm in Port St. Lucie is seeking a Real Estate Legal Assistant to support its paralegals and attorneys with residential and commercial real estate closings . This role combines transaction coordination with day-to-day legal clerical support. The right candidate is organized, responsive to clients, and comfortable keeping multiple matters moving at once in a fast-paced environment.

Responsibilities

• Assist paralegals with opening files, organizing transaction documents, tracking deadlines, and preparing closing files.
• Help coordinate residential and commercial closings with clients, lenders, title companies, real estate agents, and other parties.
• Request and track title commitments, surveys, payoff statements, estoppel letters, entity documents, and other materials needed for closing.
• Prepare correspondence, assemble closing packages, review documents for completeness, and arrange signatures and notarization under attorney or paralegal supervision.
• Assist with post-closing work, including document recording, distribution of final packages, and file completion.
• Perform legal clerical duties such as e-filing, scheduling, calendaring, document management, scanning, and maintaining accurate electronic and physical files.
• Communicate professionally with clients and outside parties while protecting confidential information.

Qualifications

• Experience in a law firm, title company, or real estate closing environment preferred; experience supporting both residential and commercial transactions is especially valuable.
• Florida Notary Public commission required.
• Familiarity with real estate documents, closing timelines, and legal office procedures.
• Strong attention to detail, follow-through, and ability to manage competing deadlines.
• Clear written and verbal communication skills and proficiency with Microsoft Office and legal case management systems.
