Project Analyst – UAT & Program Support Pomona, CA (Hybrid--Thursdays, one full week per month, and as needed; occasional travel to other company sites may be required) Duration: initial 12-month contract Pay: $30-35/hr We are seeking a Project Analyst to provide scheduling, testing coordination, administrative, and logistical support for a large-scale ERP implementation. This role will support User Acceptance Testing (UAT), coordinate activities across multiple teams, maintain project documentation and tracking, and provide onsite support during testing. When testing activities are not underway, this individual will support facility coordination, team events, meetings, reporting, documentation, and other project initiatives. The ideal candidate is highly organized, proactive, comfortable managing competing priorities, and able to communicate effectively with employees and management at all levels. Key Responsibilities Coordinate schedules and calendars across multiple teams, disciplines, and stakeholders. Provide logistical support for User Acceptance Testing, including room reservations, meeting invitations, room setup, food and beverage coordination, and onsite testing support. Configure meeting rooms and provide basic audio/visual and connectivity support for virtual and in-person meetings. Document and track testing defects, participant attendance, cancellations, and testing activity. Maintain project and program documentation, ensuring materials are properly developed, stored, updated, and organized. Validate documentation against established quality standards. Develop and maintain process documentation, procedures, schedules, trackers, and reports. Track attendance and participation metrics and prepare reporting and statistics. Develop clear communications for project teams, stakeholders, and management. Coordinate meetings, team events, lunch-and-learns, large group meetings, and other team development activities. Provide facility and logistical support, including equipment, supplies, food and beverage, and room coordination. Maintain an inventory of facility issues, communicate issues to the appropriate parties, and track them through resolution. Assist with project plans, status reports, executive summaries, presentations, and other project deliverables. Support small projects and special initiatives with limited supervision. Coordinate with senior-level management, project leaders, testing leads, technical teams, vendors, and other stakeholders. Identify opportunities to improve organization, communication, processes, and use of shared spaces. Perform additional project and administrative support duties as assigned. Required Qualifications Bachelor’s degree in Business, Finance, Accounting, Statistics, or a related field, or an equivalent combination of education, training, and experience. 3–5 years of experience in analysis, project support, program coordination, or a related field. Advanced proficiency with Microsoft Excel, PowerPoint, Outlook, and Teams. Strong ability to manage multiple calendars, schedules, meetings, and competing requests simultaneously. Experience with tracking, reporting, data organization, and quantitative analysis. Strong organizational skills with the ability to prioritize and quickly adjust to changing requirements. Excellent written and verbal communication skills with the ability to interact effectively across all levels of an organization. Ability to manage small projects and assignments independently. Strong attention to detail and commitment to delivering accurate, high‑quality work on time. Ability to gather, document, analyze, and interpret data to support business needs and recommendations. Ability to develop presentations and communicate complex information at an appropriate level of detail. Ability to work effectively as part of a cross‑functional team. Preferred Qualifications Experience supporting large-scale ERP implementations or User Acceptance Testing. Familiarity with utility, corporate, or large enterprise facilities and operational environments. Experience coordinating meetings or events at corporate facilities, hotels, or event centers. Experience troubleshooting basic audio/visual, Wi‑Fi, and meeting‑room technology issues. Experience with Power BI or similar dashboard and reporting tools. Experience developing and maintaining project plans, schedules, status reports, and executive summaries. Experience coordinating multiple meetings, calendars, participants, and logistical requirements. Familiarity with project documentation, requirements, testing, implementation, and training activities. Experience working with vendors and supporting product or implementation timelines. Ability to identify business requirements, evaluate options, assess risks, and support implementation activities.
