Intake SpecialistThe Intake Specialist plays a vital role in supporting patient access to care by coordinating referrals, reviewing clinical documentation, and ensuring services are set up accurately and efficiently. You'll work closely with patients, providers, referral sources, and internal teams to navigate insurance requirements, confirm eligibility, and move the intake process forward smoothly.This role is ideal for someone who enjoys detail-oriented work, patient communication, and collaborating across teams in a fast-paced healthcare environment.Core responsibilities include:Review medical records, clinical documentation, and payer guidelines to determine patient eligibility, qualification status, and compliance prior to service deliveryCommunicate with patients regarding financial responsibility, collect payments when applicable, and document interactions accuratelyContact patients when documentation does not meet payer requirements, providing updates and alternative options to support timely careWork with referral sources, physicians, and clinical teams to obtain complete and compliant documentationDemonstrate expert knowledge of payer requirements to ensure services are provided appropriately and in complianceMaintain accurate, timely documentation of patient information and communications using electronic systemsAccurately enter referrals within established timeframes while meeting productivity and quality standardsCoordinate with leadership to ensure appropriate inventory and services are selected and scheduledWork closely with sales, insurance verification, and internal support teams to facilitate the referral and intake processNavigate multiple EMR and online systems to obtain and manage documentation.Ensure appropriate shipping and delivery methods are selected in accordance with company proceduresAnswer incoming calls promptly and provide professional assistance to patients and referral sourcesParticipate in on-call rotation during non-business hours in accordance with company policySupport team operations and quality standards by following company policies and proceduresPerforms other related duties as assignedWhy you're the best fit:One (1) year of relatable work experience requiredHigh School Diploma, Associate's degree in relatable field, Healthcare Administration, Business Administration or equivalent work experience requiredExperience in management, administrative, clerical, insurance, billing, claims, call center, or customer service preferred but not requiredExcellent verbal and written communication skills including analytical, problem-solving and decision-making abilities with attention to detailAbility to multi-task in a fast paced environmentProficient computer skills – Microsoft Office and healthcare systems are a plusComfort learning new technologies and navigating multiple systemsAbility to work independently while following established procedures and directivesWork environment:Physical Requirements: Each role has a unique set of physical demands and work environment(s) that an employee will encounter while performing the essential function of the job.
