Executive Operations and Coordination Manager

Executive Operations and Coordination Manager (2600032N) The Executive Office of Housing and Livable Communities (EOHLC) seeks an Executive Operations and Coordination Manager in the Secretary’s Office to manage high-priority logistics, schedule, resource coordination and staff supervision to support the Secretary’s daily and strategic initiatives. Responsibilities Manage the Secretary’s daily schedule and operational priorities, exercising independent judgment to resolve conflicts and ensure seamless coordination across meetings and engagements. Plan, coordinate, and adjust transportation and logistics in real time for the Secretary’s travel, including route planning and stakeholder coordination. Oversee preparation and execution of meetings, briefings and public events, ensuring materials, talking points and logistical components are complete, accurate and delivered on time. Support briefing materials, internal communications and cross‑functional workflows within the Secretary’s Office, tracking and ensuring follow‑up on issues and commitments. Supervise the Executive Administrative Coordinator—assigning work, monitoring performance, providing training and ensuring high‑quality execution of scheduling and administrative functions. Coordinate engagement with internal and external stakeholders—municipalities, partner agencies and community organizations—to ensure effective follow‑through. Perform related duties as required to support the operational and strategic needs of the Secretary’s Office. Preferred Qualifications Ability to operate effectively in fast‑moving, real‑time environments. Strong problem‑solving and situational awareness skills. Proficient in managing logistics and scheduling under pressure. Superior customer service, organizational skills and attention to detail. Capacity to manage multiple projects simultaneously, meet tight deadlines and prioritize work. Highly proficient with Microsoft Office (Word, Outlook, Excel, PowerPoint, Access). PowerPoint focus. Excellent interpersonal skills; ability to build relationships with peers, state staff and external stakeholders. Strong organizational and critical thinking skills, commitment to quality and accuracy. Effective multitasking, setting priorities, working efficiently, meeting deadlines. Develop processes or procedures to organize data and prepare reports. Communicate tactfully and effectively in writing and oral expression. Knowledge of English language usage, grammar, spelling and punctuation. Demonstrated concise writing and logical idea development. Adaptability to changing situations and emergency requirements. Tactful dealing with others, establishing rapport with senior leadership and handling confidential matters. Independent and collaborative team work with internal and external professionals. Frequent travel across the Commonwealth required; current, valid Massachusetts Class D driver’s license or equivalent. Hours varied; occasional evening or weekend work may be required. Minimum Entrance Requirements At least five (5) years of full‑time or equivalent part‑time professional or managerial experience in business administration, public administration, clinical administration, or a related field; or an equivalent combination of education and experience defined below. Substitutions: A certificate in a relevant field may substitute for one (1) year of experience. A bachelor’s degree in a related field may substitute for two (2) years of experience. A graduate degree may substitute for three (3) years of experience. A doctorate may substitute for four (4) years of experience.
