HVAC Dispatcher

Dispatcher coordinates service schedules, routes field technicians, and manages communications between customers and the team. This fast-paced role balances daily workloads, prioritizes urgent and emergency calls, and ensures accurate billing and work order documentation in dispatch software. Key Responsibilities Technician Routing: Schedule and dispatch HVAC/R or mechanical field technicians based on priority, location, and required skillsets. Customer Communication: Answer incoming calls and portal requests, provide arrival updates, and address concerns while maintaining a professional standard. Work Order Management: Create, update, and close work orders in the company’s CRM or dispatch software. Logistics & Tracking: Monitor technician progress in real-time, adjusting routes for traffic or weather to reduce travel time and maximize productivity. Billing Support: Verify completed work, materials used, and labor hours to assist the accounting team. Qualifications & Requirements Experience: Typically 2–5 years of dispatch, scheduling, or service administration experience—specifically in the HVAC/R or mechanical trades. Software Skills: Proficiency in field service/dispatch software (e.g., XOI), GPS tracking tools, and Microsoft Office (Word, Excel, Outlook).Soft Skills: Exceptional multi-tasking, organizational, and conflict-resolution abilities, along with a calm demeanor under pressure
