About the role

Inside Success TV is seeking an organized, welcoming, and dependable team member to support our cast members and keep daily studio operations running smoothly. This hands-on role combines cast hospitality, shoot-day coordination, coffee service, client communications, and studio upkeep.

You will serve as a key point of contact before, during, and after filming, helping cast members feel prepared and comfortable while keeping the production team informed and the studio ready for each session.

Key responsibilities

\n

Cast arrivals and studio coordination

\n

\n
• Welcome cast members and guests, manage check-in, and explain the flow of their studio visit.
\n
• Coordinate arrival times and the daily studio schedule with the production team. Communicate delays, changes, and special requests promptly.
\n
• Share arrival instructions, answer preparation questions, and help cast members move between scheduled activities.
\n
• Offer attentive hospitality throughout the visit, including preparing coffee and other beverages, assisting with reasonable requests, and keeping guest areas comfortable.

Post-filming offboarding

\n

\n
• Guide cast members through the wrap-up process and explain the next production steps using current company guidance.
\n
• Review applicable submission deadlines, how future materials will be delivered, and the correct support contact for follow-up questions.
\n
• Send relevant follow-up information, document outstanding questions or requests, and hand off action items to the appropriate team.
\n
• Update internal records to reflect completed filming and any remaining follow-up needs.
\n

Support inbox and client communications

\n

\n
• Monitor and manage the shared support inbox, respond professionally, and follow up on open requests.
\n
• Use current ISTV templates and approved information to explain production steps, asset status, scheduling, and next actions.
\n
• Coordinate with internal departments to confirm information before responding and keep accurate notes of client communications.
\n
• Handle concerns calmly and escalate complaints, refund requests, contract questions, or production decisions that require management approval.
\n
• Keep conversations organized and track unresolved items through completion.
\n

Studio upkeep and supplies

\n

\n
• Keep reception, guest areas, kitchen facilities, and other shared spaces tidy, organized, and ready for use.
\n
• Stock the fridge and replenish coffee, beverages, snacks, and everyday studio supplies. Track inventory and flag replenishment needs.
\n
• Prepare and clean the coffee station, maintain coffee equipment according to instructions, and follow applicable food-handling practices.
\n
• Reset guest areas between sessions and complete opening and closing checks.
\n
• Report maintenance issues, equipment problems, or safety concerns and coordinate follow-up with the appropriate team or service provider.

Qualifications and strengths

\n

\n
• Experience in hospitality, customer service, reception, studio coordination, or administrative support.
\n
• Clear, professional written and verbal communication, with the ability to remain composed when handling concerns.
\n
• Strong organization, attention to detail, and the ability to manage competing priorities during busy filming days.
\n
• Comfort using shared inboxes, calendars, documents, and client tracking systems.
\n
• A proactive approach to guest service, reliable follow-through, and discretion with client information.
\n
• Coffee preparation or barista experience preferred.

Cast members feel welcomed and leave knowing what happens next. The studio stays stocked and ready, schedule changes are communicated promptly, and support requests are answered accurately or routed to the right person with clear follow-through.
