Fleet Office/Billing/Data Entry Clerk

Olathe Ford Sales, Inc. is seeking a detail-driven and customer-friendly Fleet Billing Clerk to support our team, with a strong focus on fleet customers, rebates, and invoice processing. This role is ideal for someone who combines accuracy and organization with a personable, professional presence.

RESPONSIBILITIES:

• Receive, review, and verify invoices for rebate eligibility and accuracy
• Substantiate and clearly document adjustments
• Ensure transactions comply with internal policies and procedures
• Compile and track amounts owed to customers
• Prepare batches of invoices for data entry and processing
• Prepare interest statements and related documentation
• Maintain organized, accurate customer files (digital and physical)
• Manage filing systems so that information is easy to access
• Answer phones and serve as a professional, welcoming point of contact for customers
• Build positive working relationships with fleet customers and internal staff

SKILLS:

• Strong interpersonal and customer service skills
• Clear and professional verbal and written communication
• High level of organization and time management
• Proficiency with Microsoft Office
• Accurate typing and 10-key data entry skills
• Prior knowledge of rebates and/or dealership experience is a plus, but not required

WORKING CONDITIONS:

This position requires that you spend long hours sitting and using office equipment and computers, which can cause muscle strain. Also, may have to do some lifting of supplies and materials from time to time. May be faced with lots of interruptions in a very busy office. There are a number of deadlines associated with this position.
