Family Care Coordinator

Schedule: Monday 8am-5pm, Tuesday 8am-4pm or 11am-7pm or 8am-7pm, Wednesday 8am-5pm, Thursday 8am-4pm or 11am-7pm or 8am-7pm, Friday 8am-4pm. Saturday rotate at CB or PH 8am-12pm (typically 1-2 per month)

PRIMARY FUNCTION


Provides excellent customer service by greeting and assisting all patients/customers; welcoming and processing appointment paperwork, scheduling appointments, maintaining records and accounts.


ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Welcomes patients, visitors and handles calls in a prompt, courteous and helpful manner.

1. Checks in patients, verifies accuracy of patient demographic and insurance information; obtains necessary signatures for treatment and/or billing; maintains and updates patient information in the computer system. Scans, insurance cards and other documents.

1. Verifies insurance eligibility and coverage.

1. Collects co-payments on date of service - receives cash, check, and credit card payments from patients, enters payments into the appropriate system and prints a receipt.

1. Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.

1. Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.

1. Comforts patients by trying to anticipate patient anxieties and answer patient questions.

1. Oversees checkout activities to include scheduling follow-up appointments and posting all charges to patient accounts. Reviews encounter forms with chart information to ensure that information has been properly documented on form.

1. Maintains a neat and clean reception area.

1. Prepares day sheets, keeping accurate records of charges and receipts, balances at the close of the day. Deposits cash and checks at local bank.

1. Answers telephone, screen calls, takes messages, assists patients with requests and schedules appointments according to office procedures.

1. Retrieves medical charts for all messages.

1. Copies charts for medical records requests and handles other correspondence as needed.

1. Distributes mail accordingly.

1. Protects patients' rights by maintaining confidentiality of personal and financial information.

Other Duties and Responsibilities:

1. Attend meetings as required.

1. Contributes to upholding KPP Patient Center Medical Home Certification, requirements, and recertification.

1. On occasion, may be responsible for teaching others or allowing students to shadow daily activities.

1. Contributes to KP social media outlets by commenting, sharing posts, or writing articles.

1. Contributes to general housekeeping that demonstrates pride in the Kids Plus practice and space.

1. Performs other duties as required.

QUALIFICATIONS


EXPERIENCE:

• A minimum of one year's experience in a medical office preferred.

KNOWLEDGE, SKILLS, AND ABILITIES

• Excellent interpersonal, communication and customer service skills.

• Ability to work courteously and respectfully with patients, co-workers, and vendors.

• Proven dependability by consistently being at work and on time and during scheduled hours, following instructions, responding to management direction, and soliciting feedback to improve performance.

• Strong organization, prioritization and multi-tasking skills required.

• Must have an exceptional attention to detail.

• Skilled in identifying and resolving administrative related problems.

• Ability to establish and maintain effective working relationships with providers, clinical staff, coworkers, and the public.

• Knowledge of EMR, computer systems, programs, and applications and ability to type required.

• Skilled in preparing and maintaining records and responding to correspondence.

• Ability to communicate clearly through verbal and written correspondence.

• Ability to work independently as well as within a team.

• Ability to interpret, adapt and apply company policies and procedures.

• Actively promotes and personally observes safety and security procedures and uses equipment and materials properly.

TYPICAL WORKING CONDITIONS

• Patient-facing

• May rotate working in the office and remote/telework.

• This job must be U.S. based.

• Work is performed in an office setting.

• Contact with staff is frequent and interruptive.

• Travel between offices/covering at other offices may be required.

• Frequent exposures to communicable diseases, toxic substances, medicinal preparations, possible blood borne pathogens and other conditions common to a clinical environment.

• Utilizes normal speech and hearing necessary for extensive conversation.

• Varied activities include sitting (sometimes for extended periods), reaching, bending, lifting up to 40 lbs., pushing/pulling.

• Have the hand-eye coordination and manual dexterity needed to operate an iPad, computer, photocopier/scanner, telephone, and other office equipment.
