Conference Center Assistant
Location: Houston, TX
Salary Pay Range and Other Compensation: $42,800 - $66,400 annually. Actual compensation may vary based on location, market conditions, skills, experience, and education. This position may also be eligible for bonus opportunities and a comprehensive benefits package.
Schedule: Flexible schedule required to accommodate Conference Center and front desk operations. Overtime may be required.
Position Summary
Under general supervision and working in conjunction with the Conference Center Coordinator, the Conference Center Assistant supports the successful operation of the Conference Center by delivering exceptional hospitality services and anticipating the needs of internal and external clients. This role also serves as backup reception support as needed and assists with conference center operations, catering coordination, and event support.
Essential Duties and Responsibilities
- Perform regular walkthroughs of conference rooms, coffee stations, and meeting spaces to ensure cleanliness, proper stocking of supplies, and readiness for upcoming meetings
- Assist with catering setup and breakdown for meetings and events
- Assist with room configurations and meeting space arrangements based on client specifications
- Support ordering of catering and coffee supplies and assist with inventory management
- Provide support for after-hours conference center events as needed
- Assist with internal office functions, employee events, and external events
- Coordinate service requests with internal departments including IT, Hardware Support, Telephone Services, Office Services, and Facilities
- Utilize room scheduling systems to assign conference rooms and coordinate logistics with reception and office services teams
- Follow up with meeting hosts to confirm meeting details and obtain any missing information
- Review daily guest lists and assist with special guest requests
- Provide backup reception coverage as needed
- Perform other related duties as assigned
Food Service Responsibilities
Coordinate with reception staff to place daily food orders with catering companies and outside vendors. Ensure timely delivery and proper setup of food and beverage service for conference center functions.
Qualifications
Required Education and Experience: High School Diploma or GED equivalent required. Minimum of 2 years of experience in catering, conference center operations, event planning, or a related field. Proficiency with Microsoft Office applications and other business software. Ability to manage multiple tasks simultaneously in a fast-paced environment. Strong customer service orientation. Professional demeanor and appearance. Ability to work flexible schedules and overtime as needed. Ability to take initiative, accept responsibility, and work independently.
