Travel Program Coordinator

Accounts Payable Job # 558543 Close Date: July 7th, 2026 Position Summary Under the general supervision of the Director of Contracts, Procurement, and Accounts Payable, the incumbent provides administrative and analytical support for the University’s travel and expense program, including support for Concur and related travel systems. The position assists with travel processing, compliance monitoring, customer support, training coordination, and routine program administration to ensure adherence to CSU and campus travel policies. Key Responsibilities Travel Program Support – 35% Assist with daily travel and expense program operations, including processing travel documents, reviewing expense reports for completeness and compliance, and supporting reconciliations and vouchering activities. Provide administrative support for travel-related Accounts Payable functions and maintain records and documentation. System and Operational Support – 25% Support Concur and related travel applications by assisting users with routine system issues, maintaining user access, testing minor updates, and coordinating with IT and campus departments regarding system processes and procedures. Customer Service and Training – 20% Respond to travel‑related questions from faculty, staff, and students. Assist with the development of training materials, reference guides, and campus communications regarding travel procedures and policy updates. Conduct routine training sessions and provide one‑on‑one assistance as needed. Oversees maintenance and enhancement of travel program webpages to provide accurate, accessible, and user‑focused information. Reporting and Administrative Analysis – 10% Compile and prepare routine reports related to travel expenditures and compliance activities. Assist with reviewing processes and recommending operational improvements to increase efficiency and compliance with CSU policies and procedures. Staff Assistant Coordination – 5% Provide day‑to‑day guidance and work direction to team assistants performing routine administrative support tasks related to the Concur system including travel, ProCard, and reimbursement processing. Other Duties as Assigned – 5% Perform additional duties as required. Knowledge, Skills, And Abilities Working knowledge of general office and administrative practices and procedures. Ability to interpret and apply CSU and campus travel policies and procedures. Ability to analyze routine operational and procedural problems and recommend practical solutions. Ability to organize and prioritize multiple assignments and meet established deadlines. Strong written and verbal communication skills. Ability to provide effective customer service and maintain positive working relationships with faculty, staff, students, and external partners. Ability to maintain confidentiality and appropriately handle sensitive information. Working knowledge of Microsoft Office applications, including Excel and Word. Ability to learn and utilize financial and travel management systems. Ability to prepare routine reports and maintain accurate records. Ability to work independently on standard assignments with general supervision. Minimum Qualifications Entry to this classification requires a working knowledge of general administrative and operational practices and procedures. This foundation would normally be obtained through a bachelor’s degree and/or equivalent training and administrative support experience. The incumbent is expected to apply acquired knowledge and skills to perform standard administrative and analytical assignments related to the campus travel program. Preferred Qualifications Experience working in higher education or public sector environments. Experience using SAP Concur Travel & Expense or similar travel management systems. Familiarity with CSU travel policies and procedures. Experience supporting financial or accounts payable processes. Experience developing or delivering training and procedural guidance. Familiarity with PeopleSoft or other financial systems. Ability to adapt to changing technologies and operational needs. Benefits This is a full‑time, permanent position with a one‑year probationary period in Accounts Payable. The benefits package includes vacation, medical, dental, and vision plans, life insurance, voluntary pre‑tax health and dependent care reimbursement accounts, a fee waiver education program, membership in the California Public Employees Retirement System (PERS), and 15 paid holidays per year. Employment Requirements Evidence of required degree(s), certification(s), or license(s) is required prior to the appointment date. Satisfactory completion of a background check (including a criminal records check, employment verification, and education verification) is required for employment. Certain positions may also require a credit check, motor vehicle report, and/or fingerprinting through Live Scan service. Failure to satisfactorily complete or adverse findings from a background check may affect the employment status of candidates or continued employment of current CSU employees who are being considered for the position. Working in the state of California is a mandatory condition of employment. Must maintain permanent residence in California and must be able to accept on‑campus assignments as required.
