Superior Court Specialist - Clerk of Court

Job Summary

The purpose of this classification is to provide advanced technical clerical, calendaring, and courtroom support for a division of the Superior Court. This position manages all criminal calendars for an assigned division, records all felony sentencing, and coordinates all jury-related activities. The Superior Court Specialist serves as the primary liaison between the assigned Judicial Office and the Clerk’s Office and performs duties with limited supervision, exercising independent judgment and a high degree of accountability

Essential Functions & Responsibilities

Manages and maintains all criminal calendars for an assigned division of the Superior Court, ensuring cases are accurately scheduled and remain calendared until final disposition.

Receives, reviews, verifies, codes, indexes, and records court documents including pleadings, motions, rule nisi, and related filings.

Gathers and analyzes court activity information to determine appropriate court dates and scheduling priorities.

Enters, updates, maintains, and purges case and calendar data within division databases and the ICON/CMS360 case management system.

Creates, updates, and distributes criminal calendars, including handling continuances, additions, and calendar changes.

Prepares, generates, and ensures proper service of notices to parties, attorneys, and other stakeholders regarding scheduled court events.

Serves as the primary point of contact for judges, judicial staff, attorneys, probation officers, law enforcement, and pro se litigants regarding calendaring and scheduling matters.

Prints, distributes, and maintains official calendar records and supporting documentation in a timely and accurate manner.

Attends all calendar calls, arraignments, motion hearings, jail pleas, jury trials, bench trials, pretrial matters, PMRs, and other court proceedings for the assigned Superior Court Judge.

Acts as the Sentencing Clerk by accurately recording and processing all felony sentencing information.

Acts as the Jury Clerk during trials, coordinating jury activities in accordance with applicable laws, policies, and procedures.

Serves as the primary liaison between Calendar Clerks and Judicial Offices, ensuring effective communication and workflow coordination.

Provides mentorship, guidance, and training to calendar clerks and other assigned staff.

Exercises independent judgment and discretion while performing duties with limited supervision.

Performs other relevant work as assigned.

Regular and predictable attendance is required.

Minimum Qualification Required

Education and Experience:

Associate’s Degree in Business Administration, Criminal Justice, or a related field.

Minimum of five (5) years of courtroom experience; or

Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.

Licenses and Certifications:

Security Awareness (GCIC Computerized Based Training)

Terminal Operator (GCIC Computerized Based Training)

Knowledge, Skills and Abilities:

Thorough knowledge of the court system.

Knowledge of applicable state laws, local statutes, and departmental policies and procedures.

Knowledge of court calendar management practices and procedures.

Knowledge of modern office practices, procedures, and equipment.

Knowledge of computerized systems for maintaining court and administrative records.

Skill in maintaining accurate court calendars, records, and sentencing documentation.

Skill in decision-making within a fast-paced court environment.

Skill in performing basic mathematical calculations.

Skill in utilizing office equipment including computers, calculators, copiers, and facsimile machines.

Skill in interpersonal relations and professional communication.

Skill in oral and written communication.

Ability to understand and carry out oral and written instructions.

Ability to establish and maintain effective working relationships with co-workers, judicial staff, attorneys, and other city/county employees.

Proficiency in typing.

Ability to operate the ICON/CMS360 Case Management System.

Proficiency with Microsoft Office Suite.

Ability to interact professionally with the general public, attorneys, and judicial staff.

Flexibility to work irregular hours as required by court operations.

Bilingual skills are a plus.

Ability to communicate effectively both orally and in writing

Physical Ability:

Essential functions of this position continuously require the ability to remain in a stationary position (sitting or standing);operate a computer and other office machinery, such as a calculator, copier, and printer. Incumbents must continuously be able to think analytically; handle stress and emotion, concentrate on tasks, remember names and other details; examine and observe details; make decisions, and adjust to change. Incumbents must also continuously direct others; meet deadlines; stay organized; use math/calculations and use a keyboard/type.

Essential Functions frequently require the ability to move about inside the office; and move/transport items up to 10lbs.

Essential functions occasionally require the ability to bend body downward and forward by bending spine and legs, and twisting at the waist, hips or knees; reach overhead; push or pull; and repetitively use hands/arms/legs. Incumbents in this position are occasionally required to be on-call and work irregular hours.

Sensory Requirements:

Essential functions regularly require the ability to use effective verbal and written communication; and use of hand/eye coordination and fine manipulation to use equipment.

Environmental Factors:

Essential functions of this position continuously require the ability to either work with others or work alone.
