• Maintain updated Fleet Repair List via Google Sheets for Mechanics, Managers & Supervisors to see while:

·        Placing orders for & picking up parts as well as assisting in payment for parts (requesting PO #s from admin assistants accordingly & providing PO #s to vendors as well as payment with credit cards).

·        Providing clear communication with timely updates to supervisors and managers for repairs.

·        Providing timely updates to mechanics regarding status on parts orders.

• Assist in process of maintaining integrity within Fleet Software, Fleetio:

·        Updating Vehicles & Equipment within software (removing, adding, & modifying existing equipment) and confirming integrity between GPS software (Teletrac Navman) & Fleetio.

·        Assist in creation and implementation of scheduled PMs for Vehicles & Equipment (Oil Change, Tire Rotations, & Tune-Ups).

·        Schedule unscheduled breakdown repairs.

·        Assist in creation and implementation of DVIR (daily vehicle inspection reports) for vehicles & trailers through Fleetio App for driver utilization.

·        Performing inventory on parts & creating minimums & maximums for frequently stocked parts.

·        Creating & entering all work orders for vehicles, trailers, equipment to Fleetio; consisting of:    

§  Entering Mechanic Time

§  Entering Parts Used

§  Entering Fluids Used

• Assist in process of maintaining organized files of vehicles & equipment:

·        Entering & uploading data from in-house mechanic work orders & outsourced vendor workorders to fleet software, Fleetio.

·        Organized storage of parts manuals, diagrams, owner manuals.

• Assist in process of maintaining integrity within GPS Software, Teletrac Navman:

·        Performing health checks on GPS platform units to confirm GPS units work properly

·        Assist in scheduling GPS installations (for new installs & reinstalls) & removals of GPS units.

• Creation & Distribution of work orders to mechanics:

·        Taking repair calls & tickets from Supervisors, Operators, Drivers, Managers, Foreman.

·        Scheduling off-site service calls with mechanics.

·        Scheduling off site repairs with outsourced vendors.

• Implementation & maintaining integrity of daily/weekly/monthly mechanic shop tasks:

·        Maintaining cleanliness & functionality of mechanic shop with routine tasks.

·        Maintaining safety of mechanic shop & shop personnel.

·        Maintaining organization of parts & tools.

·        Supervise unsolicited employees & vendors by escorting out of mechanic shop to avoid disruptions mechanics may incur while they repair equipment.

Requirements

• Excellent verbal, listening, and written communication skills. 
• Organized and resourceful. 
• Customer focused. 
• Excellent time management skills. 
• Adept at prioritizing, scheduling, and multitasking. 
• Computer proficiency. 
• High School Diploma or equivalent. 
• Bilingual English and Spanish preferred but not required. 
• Previous office experience preferred.
