Role Overview 

The Inside Sales & Lead Response Coordinator is responsible for responding quickly to new leads, following up consistently through the sales cycle to help close deals, supporting lead generation and CRM upkeep, and coordinating the customer meetings and events that keep client relationships strong. This role is built around speed-to-lead and follow-up discipline: the coordinator is often the first point of contact for a new prospect and the steady hand that keeps existing opportunities from going cold.

Key Responsibilities  

Lead Response & Qualification

• Respond to new inbound leads promptly (same-business-day or faster) to maximize conversion before competitors engage.
• Qualify incoming leads against target criteria and route them to the appropriate salesperson or estimator.
• Log all lead activity and response times in the CRM to support pipeline visibility and reporting.

Sales Follow-Up & Deal Closing

• Conduct outbound follow-up calls with prospects and active opportunities to move proposals toward close.
• Track proposal and quote status, proactively re-engaging clients who have gone quiet.
• Coordinate final details (pricing, scope, contract terms) between the client, sales, and estimating to support deal closure.
• Maintain a consistent follow-up cadence across the pipeline so no opportunity stalls without contact.

Lead Generation & CRM Management

• Research prospective clients, projects, and market opportunities to build a qualified lead pipeline.
• Maintain and clean CRM records, contact information, and customer databases.

• Conduct regular check-ins with existing clients to identify repeat business and referral opportunities.
• Track and report on lead source performance and conversion rates.

Customer Engagement & Events

• Coordinate customer meetings, including scheduling, prep materials, and follow-up notes.
• Plan and support customer appreciation events and promotional activities.
• Assist with outreach communications that keep the company top-of-mind with existing clients between active projects.

Qualifications 

• Recent schooling or 1-3 years of experience in business development, sales support, estimating, project coordination, marketing, customer service, or a related role. 

• Strong written and verbal communication skills. 

• Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). 

• Strong organizational skills with the ability to manage multiple priorities and deadlines. 

• Ability to analyze information and develop professional proposals and presentations. 

• Customer-focused mindset with strong interpersonal skills. 

• Valid driver's license and ability to travel locally for customer meetings, trade shows, and industry events as needed. 

• Not required, but a plus: Experience using CRM platforms such as Salesforce, HubSpot, Microsoft Dynamics, or similar. 

• Experience preparing estimates, budgets, proposals, bids 

• Experience in construction, industrial services, engineering, manufacturing, energy, or related industries. 

• Knowledge of sales pipeline management and lead generation processes. 

• Experience coordinating marketing initiatives, trade shows, or industry events. 

• Familiarity with project management or sales operations processes.

Schedule  

7am - 4pm, on site in Surprise, AZ
