Buyer Assistant

Assists Buyers, Senior Buyers, and/or Purchasing leadership with administrative aspects of the job to coordinate formal purchasing activities. Assists in the day-to-day management of solicitation files/posting of awards or contract execution. Assists in the management of solicitation processes related to Invitations for Bids (IFBs), Requests for Proposals (RFPs), Requests for Quotes (RFQs), and other solicitation documents. Prepares, updates, and formats solicitation and contract-related documents; enters and maintains procurement information; posts notices, addenda, award recommendations, and awards. Works directly with Buyers using County-approved e-procurement, financial, document management, and collaboration systems. Assists user departments and vendors with solicitation information in accordance with Purchasing policies, procedures, rules, and regulations. Assists in the distribution of contracts to the vendor, user department, and legal for signature, as well as any other County departments as needed. This position requires the use of time and project management skills.


QUALIFICATIONS

• Graduation from high school or an equivalent recognized certification, including or supplemented by courses in fundamental computer operations or business practices; minimum of one (1) year of procurement experience.

• Experience working in a government purchasing environment (must specify on application) ,
• Experience assisting in the preparation of IFBs and RFQs,
• Experience using MS Word for outlining/creating tables,
• Experience formatting text, inserting headers and footers (must specify on application) , and

• Experience using an Enterprise Resource Planning (ERP) System such as Advantage Financial System.
