Business Support System Specialist

ProSearch is seeking a tech savvy Temporary Business Support Specialist for a 6+ month assignment for a position based in Westbrook, Maine. This hybrid role offers an exciting opportunity for professionals with strong organizational, customer service, and administrative skills, particularly those with experience in contract processing, order entry, billing coordination, and Excel-based reporting. About the Role In this role, you will support business-to-business operations by managing customer correspondence, processing contracts and orders, validating project data, and ensuring that billing documentation is accurate and complete. The role is highly detail-oriented and involves working with both internal teams and external customers, primarily via email. You’ll play a key role in ensuring that customer needs are met efficiently and professionally, while also maintaining strong documentation, reporting, and communication practices across teams. Key Responsibilities Process contracts, service agreements, and project validation documents for business clients Enter and manage customer orders and associated billing data Communicate with customers via email regarding project status, contract details, or billing questions Track order status and update internal systems to ensure alignment with project timelines Support billing, order entry, and contract workflows, ensuring accuracy and compliance Collaborate with internal departments to ensure timely resolution of customer inquiries or data discrepancies Maintain accurate customer records and document project milestones and communications Use Microsoft Excel for reporting, tracking, and data validation Support process improvement and documentation projects as needed Learn and use SAP for order entry and reporting (prior experience helpful, but training provided) Required Skills and Qualifications Strong interpersonal skills and professionalism in customer communication Experience in customer service, contract administration, order entry, or billing support Proficient in Microsoft Excel (formulas, sorting/filtering, basic reporting) Excellent written communication skills, especially via email High attention to detail and accuracy in data entry and documentation Strong analytical and problem-solving skills Ability to manage multiple priorities and meet deadlines Comfortable working both independently and collaboratively in a team environment Familiarity with SAP or similar ERP systems is preferred, but not required Prior experience in B2B environments or large corporate settings is a plus Associates or Bachelor’s degree in Business, Administration, or related field preferred Hybrid schedule: 2 days per week in office after training Initial training will require more on-site presence (3 days per week) Supportive and fast-paced work environment with cross-functional collaboration Why Work with ProSearch ProSearch is Maine’s leading staffing and recruiting firm, connecting top talent with meaningful temporary and full-time opportunities.
