Job Details Job title: HR Management Support Specialist Job ID: 5355 Location: Woodcliff Lake, NJ 07677 Duration: 4+ months Pay Rate: $20/hr - $25/hr on W2 Schedule: 8am - 5pm, Monday to Friday Qualifications High school diploma or GED required. 2+ years of experience as HR generalist. 3+ years of recruiting experience required. Responsibilities Deliver ad hoc reporting to Head of HR Management and HR Management team and manage exception cases. Monitor associate referrals and submit PSRs. Support occurrence reporting for HR Business Partners. Oversee and facilitate the administrative onboarding of all new associates and external workforce. Oversee and facilitate offboarding of associates and external workforce to ensure completion of all processes, adhering to HR Management procedures for compliance and security of systems and facility. Collect, validate, and track required documentation for all new hires and consultants at all locations (Hilliard, Woodcliff Lake, Salt Lake City). Ensure proper filing of all applicable onboarding and offboarding documents (e.g., resignation letters) in the associates’ electronic personnel file. Responsible for initial data entry for all new associates into SAP, processing I‑9s and submitting payroll status requests in a timely manner per HR Management procedures. Understand the internal system workflow (SharePoint, B2B, PRIMA, Active Directory) and maintain onboarding/off‑boarding policies in close collaboration with the Senior HR Business Partner and Head of HR Management, SF2‑US. Procure applicable equipment and system access for each new associate and external workforce via the provided systems and ensure delivery to the assignment work location no later than the first day of employment. Collect, save, and initiate exit paperwork and provide documentation to HR Business Partner; prepare exit interview packets, send exit interview emails to the associate, manager, and HR Business Partner, and schedule exit interviews. Prepare and send termination distribution emails following HR Management procedures. Serve as the main point of contact for correspondence execution of high‑volume restructure/reorganization activities. Support the Talent Acquisition and Onboarding Specialist with onboarding email communications and program tasks. Support HR Business Partners and Talent Acquisition and Onboarding Specialist with hiring and onboarding activities, including scheduling interviews, reserving HR conference rooms, ensuring the hiring manager is present on the associate’s first day, taking new hire badge photos, collecting and tracking signed HR forms such as the associate handbook, relationship disclosure, and social media acknowledgment. Coordinate with the Compensation Analyst for position IDs and input data into excel tracker as necessary. Actively work on multiple projects in a collaborative team environment with open communication and high expectations for quality. This position may take on additional duties and responsibilities, such as back‑filling other roles, should the need arise. Manage adding and removing associates to the Genasys Emergency Alert System.
