Spa Coordinator (Front Desk)

Practice Support Administrator We are seeking an energetic support team member to assist our advanced medical spa located in Wilmette. The role involves providing exceptional customer service, managing appointments and sales, and ensuring a seamless patient experience. Responsibilities Greet patients and provide exemplary front‑desk service Use booking software to check customers in, schedule appointments, and record sales Complete daily audits for scheduling, transactions, and device availability Maintain a clean, sanitized spa environment and perform minor laundry and cleaning tasks Track inventory and place orders for retail, back‑bar, and medical supplies Resolve customer concerns promptly and professionally Follow up with patients regarding account balances, appointments, and treatment concerns via phone, email, and text Educate patients on treatments and promote product information Attend events, promotional functions, and team meetings Adhere to all company protocols, maintaining confidentiality and professionalism Support weekly administrative tasks and assist when required by providers and management Compile and analyze reports on sales, inventory, and patient retention Manage patient scheduling, confirmations, bill pay, and consent forms Maintain promotional displays and increase sales through lead generation and consultative follow‑ups Required Skills and Abilities Strong typing and proficiency with Google Suite Excellent organizational and multitasking abilities Basic knowledge of medical spa services and products Professional, polished appearance and demeanor Experience in customer service and sales Team collaboration skills Education and Experience Minimum 1 year of customer service and sales experience Minimum 1 year of healthcare or hospitality experience Additional experience in a med‑spa setting is a plus Benefits Medical, dental, and vision insurance Paid parental leave 401K match PTO and paid holidays Generous request‑off policy Discretionary monthly sales bonus and incentives Free neurotoxin treatments, discounts on procedures and products Free class pass membership Culture Fast‑paced, creative, and fun workplace environment Supportive colleagues who care #J-18808-Ljbffr SpaDerma Medical Spa
