The UNCSA School of Drama is one of the nation's premier conservatory training programs for actors, directors, and storytellers. The school prepares high school and undergraduate students for professional careers across theater, television, film, and related creative industries through rigorous studio training, intensive production work, performance opportunities, and collaboration across UNCSA's five conservatories. Its strategic purpose is to develop technically skilled, versatile, imaginative, and professionally prepared artists who can contribute to the evolving landscape of stage, screen, and narrative arts. The UNCSA School of Dance prepares talented young dancers for professional performing careers through a conservatory model that emphasizes technical excellence, artistic sensitivity, versatility, discipline, and performance readiness. With programs in both ballet and contemporary dance, the school provides high school and undergraduate students with intensive training, exposure to guest artists and choreographers, company residencies, and regular performance opportunities. Its strategic purpose is to prepare dancer-artists who are equipped to succeed in professional environments while contributing to the continued evolution of classical and contemporary dance. Together, the Schools of Drama and Dance advance UNCSA's broader mission to provide gifted emerging artists with the experience, knowledge, and skills needed to excel in their disciplines and enrich the cultural and economic vitality of North Carolina and beyond. This position supports that mission by helping ensure that the administrative, operational, financial, or programmatic needs of these conservatories are managed with accuracy, responsiveness, and an understanding of the specialized demands of professional arts training. Primary Description of Work

While reporting to the Associate Vice Provost for Budget and Fiscal Planning, this position provides business operations and budget management support to both the School of Dance and the School of Drama. The employee serves as the primary budget contact, procurement coordinator and properly advises the Deans on the fiscal policies and procedures of UNCSA and the UNC System to ensure effective stewardship of resources and compliance. The position manages budgets across multiple funding sources (state, trust, foundation, and endowment), initiates and tracks financial transactions, prepares budget requests and transfers as needed and where allowed, maintains accurate records, and ensures compliance with institutional and state guidelines. The role requires strong attention to detail, the ability to coordinate numerous financial processes simultaneously, and collaboration with internal and external stakeholders. This position divides time equally between the School of Dance and the School of Drama, with adjustments as demand in one department increases or decreases. * This position sits within the organizational chart of the Office of the Provost. Standard work schedule is Monday - Friday, 8:00 AM - 5:00 PM Description of Responsibilities and Duties
Financial Management, Monitoring, and Compliance
- Manages and reconciles state, trust (ITF), and foundation budgets for both schools, ensuring expenditures comply with all applicable state, UNC System, and UNCSA financial policies.
- Using Banner, EZ Arts, Power BI and other appropriate university applications, tracks and reviews expenditures, verifies budget balances, and prepares periodic financial summaries for review by the Deans as well as the Associate Vice Provost (AVP) for Budget and Fiscal Planning.
- Initiates and processes budget transfers, purchase orders, and reimbursements; monitors open encumbrances and ensures timely payment of invoices.
- Collaborates with the Deans and executive assistants to ensure travel requests and reimbursements comply with university and State of North Carolina policies, and where necessary enters travel into the Emburse Chrome-River system.
- Serves as departmental card coordinator for procurement and travel cards, ensuring timely reconciliation and reporting, maintaining documentation standards and ensuring adherence to audit requirements.
- Coordinates payroll-related processes for supplemental pay, adjunct faculty, and guest artists using PeopleAdmin, EPAF, or PSA processes.
- Conducts periodic audits of departmental accounts and procurement activity to ensure compliance with fiscal and purchasing standards.
- Maintains organized digital and, in some cases, physical budget records for both schools to ensure readiness for ad hoc review.
- Oversees daily administrative operations supporting both schools, ensuring consistent processes and adherence to institutional policies.
- Coordinates contracts, leases, and vendor agreements related to performances, productions, and instructional activities
- Develops and refines business procedures in collaboration with the Deans to improve efficiency and internal controls.
- Works with individuals designed by Dean to ensure compliance with inventory tracking and reporting and building access protocols.
- Coordinates primarily alone and at times with others, the travel, venue rentals, and other logistical needs for productions and special programs, including but not limited to the Annual UNCSA Nutcracker Production.
- Serves as liaison between the schools and central offices, including Procurement, HR, Facilities, and Finance, to resolve administrative and fiscal issues.
Communication and Customer Service
- Communicates fiscal and policy-related information clearly and accurately to faculty, staff, students, and external vendors.
- Prepares routine budget reports and transaction summaries in formats understandable to non-financial audiences.
- Responds promptly to questions, concerns, and payment discrepancies to ensure timely resolution.
- Provides guidance and training to departmental staff regarding budgetary and procedural best practices.
- Represents the Schools of Dance and Drama in cross-unit meetings related to finance, and budgeting.
Other duties as assigned
- Will work on special projects with fiscal implications as defined by Deans and the AVP for Budget and Fiscal Planning and may assist other Schools/Units as needed
Bachelor's degree in business administration, public administration, or related business area; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. UNC System Office approved minimum qualifications. Preferred Qualifications
- Experience with Ellucian (Banner Finance and ESM) and Emburse Enterprise Systems or similar systems
- Previous operations management and accounting
- Previous experience working with financial resources within the UNC system
- Project management experience
- Demonstrated learning agility and adaptability, with the ability to quickly acquire, understand, and apply new knowledge related to departmental operations, institutional systems, policies, and procedures.

The successful candidate will possess strong knowledge of budget management, financial reconciliation, procurement, travel, reimbursement, vendor payment, and general business operations. The position requires the ability to manage multiple funding sources, including state, trust, foundation, and endowment funds, while ensuring compliance with applicable university, UNC System, and State of North Carolina policies and procedures. The candidate must be skilled in financial tracking, expenditure review, encumbrance monitoring, budget reporting, transaction research, documentation management, and the preparation of clear financial summaries for leadership. Proficiency with Microsoft Excel and the ability to learn and use enterprise financial systems are required. Experience with Banner Finance, Power BI, Emburse Chrome River, PeopleAdmin, or similar systems is preferred. The candidate must be able to interpret policy, apply sound judgment, maintain accurate records, identify fiscal issues, and communicate budgetary information clearly to non-financial audiences. The role requires excellent organization, attention to detail, discretion, responsiveness, problem-solving ability, and a strong customer-service orientation. The successful candidate must be able to work collaboratively with Deans, faculty, staff, central administrative offices, and external vendors while managing competing priorities across both the School of Dance and the School of Drama.
