Community Engagement Coordinator
Habitat For Humanity Mid-Yellowstone Valley
The Community Engagement Coordinator reports directly to the Development Director. This position assists with event planning, including the Annual Building a Stronger Habitat for Humanity (BASHH) fundraiser, Family Fun Day, and Volunteer/Donor Appreciation Dinner, and cultivates and expands relationships with mid- and base-level donors. This position works directly with the Homeowner Services Director and Qualified Loan Originator (QLO) to orient and mentor Habitat Partner Families. This position recruits volunteers for specific on-site and off-site roles, including construction crews, office volunteers, committees, and the ReStore. The Coordinator maintains volunteer records and skills, ensures volunteers are recognized and appreciated, and creates a welcoming, safe, inclusive, and mission-centered experience from initial inquiry through follow-up, with an emphasis on retention and continued involvement. This position includes administrative duties as assigned. Essential Duties, Responsibilities, and ExpectationsFundraising Contribute to strategy development and implementation. Support the Development Director in maintaining the donor database, including data entry and gift acknowledgment. Conduct outreach to and stewardship of corporate sponsors and community partners. Outline corporate sponsorship packages, levels, and benefits, and ensure benefits are fulfilled. Support and participate in fundraising events. Plan and execute BASHH, Family Fun Day, and the annual Volunteer/Donor Appreciation Dinner. Work with the Development Director to secure sponsorships as needed. Communications Manage the organization’s social media outreach. Work with the appropriate parties to maintain the organization’s website. Develop and publish regular print and electronic newsletters, including the monthly UPdate e-blast to volunteers and interested parties. Manage affiliate photojournalism by taking or arranging photos of construction progress and Habitat events, promptly transferring photos to the Habitat network, and maintaining the affiliate’s historical photo archive. Outreach Recruit volunteers for construction sites, the ReStore, the office, committees, and fundraising events. Recruit committee members and orient individuals who want to become regular volunteers. Organize work-group schedules in coordination with the Construction Supervisor and serve as a liaison between volunteers and the Construction Supervisor. Develop a working knowledge of Habitat construction activities and clearly communicate site expectations, safety requirements, schedules, and day-of information to volunteers and Crew Leaders. Be present at the beginning of each construction workday to greet volunteers or arrange for another person to do so. Set up and maintain the volunteer trailer, including snacks, beverages, donated lunches, paper and cleaning products, hand sanitizer, coffee, water, ice, food storage, and well-stocked first-aid kits. Ensure the trailer and food-service equipment are cleaned and stored after use. Work with the ReStore General Manager to determine the store’s volunteer needs and actively recruit for those positions. Work with Administration/Program staff to identify needs for administrative assistance or front-office reception help. Form and strengthen relationships with universities, businesses, churches, service clubs, and other community groups to recruit volunteers and secure donated construction-site lunches. Attend Volunteer Network meetings and other groups that further community knowledge and connections. Participate in planning Habitat activities, including the Annual Meeting, wall-raising ceremonies, dedications, and fundraising events. Ensure all volunteers, including community-service workers, sign in and out using the current volunteer system. Manage volunteer information in the affiliate’s chosen database and external platforms such as United Way and JustServe, including volunteer opportunities, skills, participation, and hours. Maintain and report volunteer and group hours monthly and annually, provide reports to participating organizations upon request, and report Partner Family sweat-equity hours to the Homeowner Services Director/QLO. Track volunteer recruitment, participation, retention, outreach activities, and other engagement measures to evaluate and strengthen community engagement efforts. Thank volunteers through database updates, dedication invitations, periodic appreciation campaigns, and other follow-up communication. Gather volunteer feedback, identify opportunities to improve the service experience, and develop strategies that encourage volunteers and groups to return. Distribute, collect, and file liability waivers; coordinate or complete background checks for regular volunteers; and ensure regular volunteers complete a waiver annually. Office Work directly with Habitat for Humanity Mid-Yellowstone Valley Partner Families. Serve as a liaison among Partner Families, the Construction Supervisor, and the Homeowner Services Director/QLO. Communicate weekly with Partner Families regarding construction and ReStore sweat-equity opportunities. Ensure Partner Families are properly set up in the affiliate’s chosen sweat-equity tracking system and provide monthly reports to the Homeowner Services Director/QLO. Ensure all accidents are documented on an Accident Report Form by the staff member or responsible volunteer who witnessed the accident. The original is provided to the Executive Director for review, then sent to the Community Engagement Coordinator for retention. Complete and submit a monthly report of activities and accomplishments to the Development Director by the requested deadline. Complete a criminal background check. Perform other duties as assigned. Minimum Qualifications (Experience/Education) Bachelor's degree or equivalent training in a relevant field, such as communications, social services, or nonprofit management. One to three years of related experience, or an equivalent combination of education and training sufficient to meet the position requirements. Valid Montana driver's license and good driving record. Knowledge, Skills, and Abilities Working knowledge of relevant practices and procedures and the ability to apply them in varied situations. Intermediate technical skills and the ability to adapt to complex or non-routine situations. Advanced project and process-management skills, including developing schedules, assigning accountabilities and deadlines, anticipating obstacles, and communicating changes and progress. Intermediate computer skills, including word processing, data entry, spreadsheets, presentations, Microsoft Office, and common office equipment. Intermediate office and administrative skills, including drafting, editing, and proofreading correspondence; organizing files; entering data; scheduling meetings and appointments; and maintaining calendars. Ability to work effectively with staff and volunteers and refer mission-related questions to the appropriate staff member. Strong customer-service, written, and verbal communication skills, including public speaking, group facilitation, active listening, answering questions, and resolving varied problems with people from diverse backgrounds. Ability to handle sensitive and confidential information appropriately. Ability to identify others’ needs and concerns, determine potential solutions, and resolve or redirect matters appropriately. Ability to persuade, gain cooperation, collaborate on projects, resolve conflict, and maintain relationships that improve workflow and work quality. Physical Demands and Working Conditions Work occurs in office, outdoor, community, event, and active residential construction-site environments, including varying weather conditions, uneven terrain, unfinished structures, on-street driving, and moving vehicles. Must wear required personal protective equipment, follow all site-safety procedures, and actively support volunteers in a hands-on environment. Physical demands include nearly continuous hearing, listening, and talking; frequent sitting, keyboarding, standing, walking, bending, stooping, stair climbing, pushing, pulling, and lifting up to 30 pounds. Must occasionally climb ladders, kneel, squat, crouch, balance, reach overhead, use a shovel, and lift up to 50 pounds. Requires close attention to detail, frequent deadlines, and regular internal and external interaction.
