Hannah Savage with working with a professional organization who is looking for a welcoming and organized Client Service Associate to support their daily front office operations in Rochester, New York. The ideal candidate is comfortable in a client-facing environment, pays close attention to detail, and can adapt to a variety of support needs throughout the office.

Responsibilities:

• Welcome visitors at the front desk and maintain a courteous, responsive presence throughout the day.

• Manage incoming client interactions, including phone calls and in-person inquiries, and provide timely follow-up on document receipt and related status updates.

• Scan, organize, and maintain files electronically using ShareFile to ensure accurate and accessible records.

• Prepare and send client invoices while helping keep billing documentation current and organized.

• Route tax return documents through the appropriate filing process without performing tax preparation work.

• Support assigned partners and their clients with administrative coordination tailored to their individual preferences and workflows.

• Handle general office support tasks as needed, including data entry, document management, and other administrative assistance.

• Assist with light office upkeep from time to time, such as basic cleaning or vacuuming, to help maintain a tidy workspace.

• At least 1 year of experience in an administrative, receptionist, or client service position.
• Ability to communicate professionally with clients in person, by phone, and through written correspondence.
• Experience with general office tasks such as filing, scanning, invoicing, and data entry.
• Comfortable working in a front desk setting with frequent visitor traffic and changing priorities.
• Strong organizational skills and attention to detail when handling documents and records.
• Proficiency with standard administrative systems and willingness to learn tools such as ShareFile.
• Ability to support multiple requests efficiently while maintaining a high level of professionalism.
