Scheduling Coordinator

Tennessee Oncology, a leading community‑based cancer care provider located in Nashville, Tennessee, seeks a Scheduling Coordinator to manage complex patient appointment scheduling across our clinics, radiology, procedures, and virtual tumor boards. Responsibilities Answer phone calls and greet patients courteously. Route calls/messages to the appropriate department. Perform patient check‑out workflow following policy and procedures. Interpret orders and treatment plans into appointments, following complex scheduling guidelines. Distribute patient documents and provide scheduling/preparation details. Track patients in the EHR to ensure no missed appointments. Follow up on cancelled and missed appointments and document appropriately. Schedule internal and external appointments, including referrals, radiology, procedures, hospital admits, virtual tumor boards, etc. Run daily reports to identify patients with unscheduled orders. Perform tasks related to governmental, insurance, and quality initiative programs (e.g., patient engagement portal communication, pre‑certification coordination, diagnostic order faxing for study patients). Follow SOP for external follow‑ups. Demonstrate excellent customer service and respond promptly to all stakeholders. Communicate with staff using instant messaging. Scan documents into the EHR when necessary and send portal invites. Perform other duties as assigned. Travel/float to other clinics for business needs. Maintain confidentiality of patient information and adhere to all Tennessee Oncology policies. Qualifications High school graduate or equivalent (GED accepted). Two or more years of professional office experience with customer service. Electronic medical records experience preferred. Experience with electronic medical scheduling preferred. Knowledge of medical terminology preferred. Strong computer skills (Windows, MS Office, email). Excellent verbal, listening, and written communication skills. Ability to work productively in a fast‑paced environment. Strong organizational skills and attention to detail. Excellent customer service skills.
