Staff Assistant II

Job Title

Provides advanced secretarial, administrative and clerical support to assigned office(s) to ensure effective and efficient daily office operations.

Compensation Range: $18.58 to $28.31

Job Summary:

Provides advanced secretarial, administrative and clerical support to assigned office(s) to ensure effective and efficient daily office operations. May also assist department(s) with the operation of computerized applications. Receives incoming calls and responds to questions or directs calls as appropriate. Opens, distributes and prioritizes mail Handles travel arrangements as required; processes reimbursements, approved invoices, payroll and various paperwork to ensure timely and efficient flow of paperwork. Orders and maintains adequate inventory of office supplies; prepares requisitions. May assist in the preparation of the annual office budget. May provide direction or assistance to lower level office clerical staff member(s).

Job Duties:

• Compose and/or type and distribute accurate correspondence, memorandums, administrative procedures, etc. Assist the transcript evaluation area with data entry and imaging of documents. Compile and prepare various reports as requested.
• Prepare and process materials related to Student Services and may attend various committee meetings; type minutes from meeting.
• Provide assistance to office staff members including scheduling meetings, travel arrangements, maintenance of the office calendar, and organizing and coordinating activities.
• Set up and maintain current office files and computer databases.
• Maintain daily logs of activities performed as it related to data entry and imaging documents.
• Coordinate service maintenance and repair of various office machines including copier, fax, computer, etc.
• Assist students with problems and complaints or refer to appropriate office or personnel.
• Assist in the preparation of the annual Enrollment and Student Services report.
• Perform other similar and related duties.

Minimum Qualifications:

Associate's degree or two-year College equivalent (at least 60 undergraduate semester hours) and at least two years of prior-related work experience. The position requires at least a High School diploma or GED equivalent if substituting experience for education.

Preferred Qualifications:

• Minimum of three years experience working with office budgets.
• Strong customer service skills with excellent phone and email etiquette
• Ability to multitask in a fast paced environment
• Able to self direct and show initiative
