We are seeking an experienced and detail-oriented Patient Scheduler to join a busy medical office in Frisco, TX. This is a contract-to-hire opportunity offering a stable weekday schedule and the chance to become a permanent member of a patient-focused healthcare team.

Responsibilities

• Schedule new, referred, and returning patients in accordance with physician and office guidelines.
• Enter patient demographics, referral information, documentation, and appropriate coding into the scheduling system.
• Manage appointment cancellations and reschedules due to physician schedule changes and communicate updates to clinic staff.
• Obtain and document insurance authorizations, referrals, and related correspondence within patient charts and EMR systems.
• Collect co-pays, deductibles, and other patient financial responsibilities at the time of service.
• Maintain physician scheduling templates, including meetings, satellite clinic schedules, rounding schedules, and call coverage.
• Coordinate financial counseling for patients when necessary.
• Ensure patient confidentiality and compliance with HIPAA and office policies.
• Provide support for front office operations and assist with administrative functions as needed.
• Prepare correspondence, forms, memos, and other documentation as requested.
• Schedule outpatient procedures, diagnostic testing, surgeries, and hospital admissions when applicable.
• Obtain required pre-certifications and insurance approvals for procedures.
• Communicate appointment details, surgery schedules, testing requirements, and preparation instructions to patients.
• Follow up on pre-operative testing and coordinate with physicians and patients regarding any additional requirements prior to procedures.
• Schedule post-operative follow-up appointments as needed.
• Utilize medical terminology and coding resources to support scheduling and documentation processes.

Qualifications

• High School Diploma or GED required.
• Minimum of 3 years of patient scheduling experience , preferably within a medical office or healthcare setting.
• Knowledge of medical terminology and medical coding is highly preferred.
• Experience working with insurance authorizations, referrals, and pre-certifications.
• Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel).
• Familiarity with Electronic Medical Records (EMR) systems preferred.
• Excellent written and verbal communication skills.
• Strong attention to detail and organizational abilities.
• Ability to multitask and work efficiently in a fast-paced environment.
• Exceptional customer service and patient interaction skills.
