Job Description

Manage bid solicitation process: distribute bid packages to subcontractors, track receipt confirmation, follow up with non-responders, and maintain bid log

Prepare and maintain bid leveling comparison worksheets for principal review

Track purchase orders for active projects; log invoices, verify against POs, flag discrepancies, and prepare payment runs for approval

Handle routine vendor and subcontractor communication (status follow-ups, document requests, scheduling)

Organize and maintain project document libraries (plans, permits, contracts, RFIs, submittals, correspondence)

Support general project admin as directed by the principal

Passos Construction Partners (PCP) Commercial GC/CM

Build and continuously update master commercial prospect and referral database across target segments (architects, civil/structural engineers, commercial developers, real estate investors, commercial real estate brokers, property managers, medical, professional, franchise, retail, and nonprofit owners)

Enter, update, and maintain all contacts in the system; ensure data is current and properly tagged

Execute LinkedIn outreach sequences using principal-approved templates; draft personalized connection messages and follow-ups

Support email outreach campaigns: personalize and send messages, track opens/responses, log results

Maintain Business Development (BD) activity tracker: update status, log activities, flag contacts needing principal attention

Monitor commercial permit filings and development activity in the South Metro Atlanta target market; summarize weekly findings

Prepare capability statements, introduction packages, and other BD documents for formatting and distribution

Right Steps Advisory (RSA) Business Consulting

Register and maintain professional profiles on all target expert networks

Submit applications to consulting marketplaces

Maintain RSA BD channel tracker; update status of all active and dormant channels

Conduct targeted research and build contact lists for PE firms with packaging and CPG supplier portfolios, M&A advisors, investment bankers, mid-market accounting firm operations contacts, and podcast/speaking targets

Manage LinkedIn publishing calendar; format and schedule approved posts weekly

Format and distribute email newsletter issues once drafted by principal

Research and compile podcast pitch lists with contact information and submission requirements

Cross-Entity Administrative Support

Manage principal's calendar: schedule meetings, send invites, prepare agendas, and send reminders

Draft emails and correspondence for principal review and approval

Organize and maintain shared file systems

Conduct general research tasks as assigned

Prepare weekly status summary reports across all three businesses

Must Haves

Excellent written English, clear, professional, and error-free

Proficiency in office software tools and ability to transfer knowledge to similar tools

LinkedIn proficiency: comfortable with outreach, profile management, and content scheduling

Experience with CRM platforms, or ability to quickly learn and master

Strong research skills: able to find contacts, build lists, and summarize findings accurately

High attention to detail and strong organizational instincts

Ability to work independently and manage multiple priorities with minimal supervision

Comfortable handling confidential business information with discretion

Reliable internet connection and a professional, dedicated work setup

Available full-time during US Eastern Time business hours
