Facilities Coordinator

Job Title: Facilities Coordinator Salary Range: $95,305.60 - $117,228.80 Responsibilities Lead day‑to‑day operations of the 2600 Wilshire Building common areas, overseeing cleanliness, security, and safety. Coordinate and manage contractors supporting administrative office buildings, monitoring and managing all service contracts. Manage on‑site contractors to assure safety for contractors, employees and property. Plan, schedule, and coordinate the progress and execution of plans, projects and activities initiated by the Director or designee. Coordinate facilities‑related activities supporting agency sites and locations, receiving requests for services and contacting vendors for completion related to electrical, plumbing, heating/cooling, building maintenance, cleaning, and shipping. Develop scopes of work, RFPs, RFQs for professional services; coordinate with General Services and obtain permits and board approvals. Communicate timely with Building Engineer and Department Head. Assist with overseeing construction projects (tenant improvements, facility modifications) and manage internal/external resources, including consultants, contractors, and vendors. Oversee administrative functions such as furniture and office equipment maintenance, lease contracts, contractor management, security, janitorial, landscaping, extermination. Monitor contractor performance and work to improve services. Assist with commercial tenant relations and authority‑wide staff relocation/move management. Plan and direct printing and mail services, supervise mailroom personnel, handle mail processing and delivery. Oversee delivery of mail and confidential materials to board members. Review work orders for printing, prepare time and cost estimates. Assign and coordinate work to meet priorities and deadlines, minimizing downtime and maximizing production. Review, proof, and approve work upon completion for conformance to standards. Coordinate and schedule maintenance of authority vehicles and inventory disposal of physical assets. Evaluate employee work, provide feedback, document evaluations, and recommend disciplinary actions. Consult on reproduction methods, decide on in‑house vs contracting. Assist in developing, preparing, and compiling reports, presentations and data. Supervise maintenance and repair of printing and bindery equipment; contract outside services as needed. Maintain liaison with USPS and private carriers; evaluate mail and delivery routes. Ensure compliance with employee conduct standards. Provide travel to sites as required. Perform related duties as required. Key Skills and Abilities Customer‑focused; understand internal customer needs and develop solutions. Strong written, verbal, and interpersonal communication skills; draft procedures, reports, manuals. Recognize site service needs and communicate with employees, supervisors, and managers. Strong organizational and prioritization skills, minimal supervision. Effective presentation of information and response to questions. Detail‑oriented and accurate. Proficient in Microsoft Office Suite and Internet. Knowledge of postal legislation and its operational and cost impact. Education & Experience Any combination of education and experience that provides the required knowledge and abilities. Typical qualifications: associate degree and at least one year of administrative facility operations experience; two additional years may substitute for education. Minimum four (4) years of experience operating and maintaining offset printing, duplicating, and allied equipment, with two (2) years supervising a large volume printing/duplicating operation. Mail collection, processing, and delivery experience desirable. License & Certificate Valid California driver’s license.
