Title Assistant

We are seeking a Title Assistant Level I for a national title insurance company based in San Jose this role you will work closely with Title Examiners to prepare high-quality title products facilitate client communications and ensure the accurate and timely delivery of title commitments and reports.

Key Responsibilities

• Collaborate directly with Title Examiners to produce accurate timely title insurance products and Ownership and Encumbrance (O&E) reports.

• Set up new orders order and issue tax certificates and distribute revised title packages and supplementary documents.

• Field incoming calls from clients and partners resolving inquiries through research or escalating complex matters to Examiners and Title Officers.

• Monitor production deadlines proactively communicating status updates and schedule adjustments clearly to team members and clients.

• Conduct county courthouse searches and record retrievals as required.

• Deliver responsive customer service to internal teams and external clients providing occasional backup front-desk support when needed.

Qualifications

• 13 years of experience in an office environment title/escrow setting or professional customer-facing role.

• High school diploma or GED equivalent.

• Proficiency with Microsoft Office (Word Outlook) and Windows-based systems with the ability to operate standard office equipment.

• Exceptional attention to detail and a commitment to high accuracy in document production.

• Strong verbal and written communication skills with a customer-first mindset.

• Ability to prioritize tasks effectively in a fast-paced deadline-driven setting.

• Valid drivers license and active auto insurance for local county document retrieval.
