We are looking for a detail-oriented Closing and Estoppels Specialist to support residential property and association transactions in Florida. This contract opportunity with permanent potential is ideal for someone who can manage closing documentation, ownership updates, and estoppel-related requests with accuracy and urgency. The person in this role will work with internal teams and external partners to keep transactions moving smoothly while maintaining complete and reliable records.

Responsibilities:
• Serve as the primary contact for questions related to estoppel certificates, closing documents, affidavits, questionnaires, and request progress from owners, attorneys, lenders, and real estate professionals.
• Monitor active requests from intake through completion, keeping close watch on documentation, approvals, and due dates to prevent delays.
• Examine estoppel packages for correctness, confirming account details, balances, fees, and property-specific requirements before release.
• Partner with support teams to resolve errors, clarify account issues, and secure any necessary approvals for finalized documents.
• Complete or coordinate questionnaires and other materials required to support real estate closings and ownership transfers.
• Investigate discrepancies in ownership records by reviewing public filings and related documents when internal records do not align.
• Collect and assess deeds, settlement statements, payments, and other closing paperwork needed to update ownership information accurately.
• Process transfer-related payments and fees, maintain supporting logs, and ensure documentation is properly recorded and organized.
• Verify that ownership changes and account updates are entered correctly in Yardi and follow up on any missing information or unresolved exceptions.
• Prepare reporting tied to estoppel activity, questionnaire volume, and transfer fee revenue while providing additional coverage for closing operations as needed.• 3-5 years of experience handling closings and estoppel processing within property management, real estate, or a related environment.
• Working knowledge of condominium or homeowners’ association operations is strongly preferred.
• Experience with Yardi and CondoCerts is preferred.
• Ability to review owner ledgers, research account inconsistencies, and confirm charges and payments tied to closings.
• Strong organizational skills with a high level of accuracy and attention to detail.
• Proven ability to manage numerous requests and deadlines across multiple properties at the same time.
• Proficiency with Microsoft Outlook, Word, and Excel.
• Effective written and verbal communication skills, with discretion in handling confidential financial and owner information.
