Human Resources Coordinator

About the Opportunity This is an exciting opportunity to join the Human Resources team during a transformational period. Working alongside the Human Resources Manager, the Human Resources Coordinator will play a key role in strengthening HR operations, enhancing the employee experience, improving programs and processes, and supporting the organization's continued growth across multiple locations. Talent Acquisition & Recruiting Monitor applicant flow and review resumes against hiring criteria. Source Certified Flight Instructor (CFI) candidates and other positions as assigned. Conduct initial phone screens for candidates. Coordinate interviews, testing instructions, and hiring manager calendars. Prepare offer letters, employment agreements, and candidate communications. Maintain applicant tracking records and hiring status updates. Pre-Employment & Onboarding Coordinate background checks, pre-employment drug testing, and required onboarding documentation. Prepare new hire paperwork in ADP Workforce Now and other company systems. Create employee onboarding folders and orientation schedules. Coordinate and communicate orientation schedules with new hires. New Hire Orientation & Employee Setup Welcome new employees and coordinate orientation activities. Conduct facility tours, ramp safety briefings, and emergency meeting location reviews. Issue badges, keys, building access, and employee identification. Set up employees in ADP Workforce Now and other required systems. Create user profiles and maintain employee access records. HR Systems, Records & Compliance Maintain accurate personnel files and HR records. Upload and maintain employee documentation in ADP and other systems. Track employee credentials, certifications, FAA documentation, and required records. Coordinate I-9 completion and personnel file maintenance. Assist with HR compliance activities and personnel file audits. Maintain HR forms, onboarding materials, and standard operating procedures. Benefits & Employee Administration Assist with benefit enrollments, qualifying life events, and Open Enrollment. Review routine time-off requests and process approved requests in ADP. Serve as a resource for routine employee HR questions and direct complex matters to the Human Resources Manager. Training & Administrative Support Coordinate new hire orientation and recurrent CFI training schedules. Track required training completion and credential renewals. Maintain HR tracking spreadsheets, anniversary calendars, and department records. Order food and supplies for orientations, retirements, and HR events. Manage company uniform inventory, ordering, distribution, and returns. Assist with special HR projects and continuous improvement initiatives as assigned. Qualifications Required Associate's degree or Bachelor's degree preferred in Human Resources, Business Administration, or a related field, or equivalent experience. Three to five years of Human Resources, recruiting, administrative, or office support experience. Experience with Microsoft Office and Google Workspace. Experience using HRIS software; ADP Workforce Now experience preferred. Strong organizational skills with exceptional attention to detail. Excellent written and verbal communication skills. Ability to handle confidential information with professionalism. Preferred Experience supporting recruiting and onboarding. Experience in aviation, education, or another regulated industry. Experience supporting a multi-location organization. Knowledge, Skills & Competencies Customer-focused with a collaborative, team-oriented approach. Excellent organization and follow-through. Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and accuracy. Professionalism, discretion, and sound judgment. Commitment to confidentiality and continuous improvement. Additional Responsibilities Perform other duties and special projects as assigned to support Human Resources, company operations, and business objectives. Physical Demands This position requires the ability to work in a professional office environment; sit or stand for extended periods; occasionally walk, bend, reach, and lift or carry items weighing up to 15 pounds; operate standard office equipment; and communicate effectively both verbally and in writing. #J-18808-Ljbffr
