A bit about us:

We are seeking an experienced Legal Billing Specialist to join our finance and billing team. This position is responsible for managing the full billing cycle, including preparing and reviewing high-volume and complex invoices, coordinating with attorneys and clients, and managing invoices through third-party e-billing platforms.

The ideal candidate has at least five years of hands-on law firm billing experience, strong Elite 3E experience, and a solid understanding of electronic billing. Experience with eBillingHub is highly preferred.

This is a detail-oriented position requiring strong analytical, research, communication, and problem-solving abilities. The successful candidate will be comfortable working independently, managing competing priorities, and operating effectively in a fast-paced environment.

Job Details

Responsibilities:

• Prepare, review, verify, and distribute monthly invoices, including electronic and PDF invoices.
• Manage a high volume of monthly bills while maintaining a high level of accuracy.
• Process complex billing matters involving multiple discounts, split-party billing, other specialized billing requirements.
• Manage invoices and accounts through third-party e-billing systems.
• Coordinate with attorneys regarding short pays, invoice rejections, appeals, budgets, accruals, billing status
• Monitor e-bills through the submission, approval, and payment process and follow up on outstanding issues.
• Maintain billing rates and billing arrangements.
• Assist with developing or updating billing formats and templates as needed.
• Research and resolve billing inquiries, discrepancies, and other billing issues.
• Prepare billing schedules, reports, analyses, and other financial information as requested.
• Apply firm billing policies and procedures, including write-off policies.
• Communicate professionally and effectively with attorneys, staff, clients, and billing contacts.
• Maintain strict confidentiality of financial, client, and matter information.
• Participate in special projects and other billing initiatives as assigned

Qualifications:

• Bachelor's degree preferred.
• Minimum of 5 years of hands-on legal billing experience in a law firm environment.
• Strong experience with Elite 3E required.
• Experience with eBillingHub strongly preferred.
• Strong knowledge of complex legal billing and electronic billing processes.
• Proficiency with Microsoft Office, particularly Microsoft Excel.
• Excellent attention to detail and accuracy.
• Strong analytical, research, and problem-solving skills.
• Ability to manage multiple priorities and organize workflow effectively.
• Ability to work independently with minimal supervision.
• Strong follow-through and initiative.
• Excellent written and verbal communication skills.
• Ability to work effectively in a high-volume, deadline-driven environment.
• Flexibility to adjust working hours when necessary to meet client deadlines or billing demands.
• Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
