Logistics Coordinator

Job Summary Responsible for providing proactive and excellent customer service to assigned accounts, assisting with scheduling inbound and outbound shipments with customer carriers (including LTL and TL shipments) if applicable, and managing invoices and billing documents. Responding to all inquiries and complaints concerning work orders, invoices, shipments, inventory counts, etc. Helps implement company quality, safety, and customer standard operating procedures (SOP’s). Coordinates with vendors, sales staff, customer service representatives, billing representatives, warehouses, and shippers as needed. Responsibilities Maintain consistent contact with clients and agents. Act as a liaison between the warehouse and the customer for account and operational needs and resolve discrepancies. Develop and maintain productive relationships with clients, vendors, agents, and industry partners. Oversee all aspects of assigned orders, including order entry, scheduling transportation, maintaining order communication, tracking status, addressing cancellations, resolving issues, maintaining documentation, and providing proactive support. Maintain and adhere to company SOPs and quality assurance processes for all customer and warehouse activities. Support onboarding for new customers. Maintain damage records, backorder logs, and regulatory reporting as needed. Identify and recommend process improvements. Coordinate with corporate billing staff to ensure accurate and timely billing; may review or prepare billing as needed. Monitor project KPIs and recommend training, work allocation, and problem resolution. Maintain customer reporting for internal and external stakeholders. Participate in internal and/or external customer meetings. Participate in the development of department goals and objectives; recommend, implement, and administer methods and procedures to enhance operations. Qualifications Minimum of a High School Diploma; college degree or some college experience highly preferred. Minimum of 2+ years of direct experience in a similar industry, or completion of 2 years of logistics and transportation courses through an accredited college. Directly supervises a team of 5–15 employees. Knowledge of inventory management procedures, general warehousing terminology, and practices. Familiarity with warehouse and inventory management systems. Solid mathematics and financial accounting principles. Proficiency with MS Word, Excel, Outlook and ability to learn warehouse and transportation systems quickly. Ability to perform spreadsheet tracking and data analysis. Interpersonal and communication skills critical; must manage multiple-party communications and negotiate/resolve customer claims. Excellent time-management, prioritization, and proactive communication with management. Ability to work a flexible schedule. Physical / Environmental Demands The employee must regularly stand, walk, sit, use hands to finger, handle or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; see clearly and talk or hear. They must regularly lift and/or move up to 49 pounds unassisted, carry and climb a ladder, stand and walk for extended periods, twist, stoop, squat, reach above shoulder level and crouch frequently, and use hands and feet simultaneously for repetitive movements. Work is performed in a cubicle environment with moderate noise levels.
